Ventanilla Unica Digital: How to Submit Your Report from Avantio

Find out how to comply with the new regulations of the Digital Single Window for Rentals (Ventanilla Unica Digital or VUD) coming into effect on July 1, 2025, and how to manage the submission of the required information from Avantio.

What is the Digital Single Window for Rentals?

The Digital Single Window for Rentals is a system established by the Government of Spain that requires companies managing accommodations in the country to periodically submit information about their bookings when these are marketed through their own websites with direct booking.

This regulation applies in addition to other existing legal requirements and aims to improve transparency and control over tourist and short-term rentals.

Who does this regulation apply to?

The reporting obligation applies to all companies (individuals or legal entities):

  • With accommodations located in Spain

  • That list properties on their own web and allow direct bookings

How often must the report be submitted?

The frequency of submission depends on the number of accommodations listed:

  • Companies with more than 4,250 accommodations listed: monthly report

  • Companies with fewer than 4,250 accommodations listed: quarterly report

NOTE:

Submission deadline: The report must be submitted within the first 15 calendar days of the relevant month, starting from July 1, 2025.

Bookings spanning two different quarters

In cases where a booking begins in one quarter and ends in the next, the stay must be reported in its entirety within the quarter in which check-out (departure date) occurs.

In other words, the reporting criteria are based on the end date of the stay, rather than the arrival date.

Example:

For a booking with:

  • Check-in: 30 March

  • Check-out: 2 April

This must be included in the report for the second quarter, stating the actual dates of the booking:

  • Start date: 30/03

  • End date: 02/04

The system automatically generates the report according to these criteria.


Where can you create and download the report in Avantio?

The Digital Single Window for Rentals (ES) report is generated directly from Avantio and downloaded in the official format, valid for submission to the relevant authorities.

Steps to create and download the report

  1. Log in to your Avantio account.

  2. From the main menu on the left, go to Export data.

  3. Click on Digital Single Window for Rentals (ES).

  4. Select New export.

  5. Set the date range and, if you wish, filter by accommodations, portals, or tags.

  6. Click Next to continue with the export process.

Once you have completed these steps, you can download the generated file and use it to meet your legal obligations.

IMPORTANT:

Only users with Administrator permissions can access this section.


Available filters in the report

Before exporting the CSV, you can apply the following filters:

  • Check-in date (from / to)

  • Accommodations (multi-select)

  • Portals (multi-select)

  • Tags (multi-select)

This allows you to generate a report tailored exactly to the required information.

Improvement in VUD export: inclusion of manual bookings

The VUD export has been improved to allow the inclusion of manually created bookings.

This improvement responds to a regulatory requirement communicated by the General Directorate for Planning and Evaluation.

According to this requirement, all bookings must be included in the VUD report, including those made by phone or email when payment has been processed through the website.

What changes?

Previously, the export determined the website, portal or intermediary based on the web channel through which the booking had originally been recorded.

From now on, the export uses the website or portal/intermediary assigned directly to the booking, regardless of how it was created (website, phone, email, etc.).

New filter: Portal

A new Portal filter has been added to the VUD export with the following:

🟢 Websites (website names)

Includes all websites assigned to the company. Bookings are exported using the URL of the specified portal/website, regardless of whether the booking was made through the website or manually.

⚪ No portal/intermediary

Includes all bookings that do not have a website assigned. In this case, the company’s default website URL is used for the export.

🔵 All

Includes all bookings, regardless of the assigned website/intermediary.


Submitting the report

Once the file is generated:

  1. Download the CSV from Avantio

  2. Log in to the intranet of the Digital Single Window for Rentals

  3. Upload the CSV file within the established deadline

Currently, automatic submission is not available.


Information included in the CSV report

The CSV file exported from Avantio includes the following data:

Accommodation data

Booking data

Other data

  • Rental Registration Number
    NRA field from the accommodation record

  • Full address (excluding city, postal code, and country):
    Street and number

  • Postal code

  • City

  • Country

  • Number of guests per booking

  • Country or countries of residence of the guests

  • Rental period: Start date (check-in)

  • Rental period: End date (check-out)

  • Listing URL (accommodation) on the Avantio web


Frequently Asked Questions

Why can't I see the Digital Single Window for Rentals section?

If you don't see the Digital Single Window for Rentals (ES) option in the Export data menu, it's because your account does not have this feature enabled.

This section is available only for companies with accommodations in Spain.

If you need access, please contact our Support team to request activation of this feature.

Does this regulation apply to all bookings?

Only for bookings made through your own websites with direct booking, including manual bookings made by phone or email and processed through the website.

What happens if I don't submit the report on time?

Failure to comply may result in administrative penalties, according to current regulations.

Does Avantio submit the report automatically?

No. Currently, the report must be downloaded as a CSV and manually uploaded to the Digital Single Window.

Can I use filters to submit only part of the information?

Yes, as long as the information submitted meets the legal requirements for the relevant period.

From when is submission mandatory?

From July 1, 2025.
