Avantio is a leading software in the industry, specifically designed for vacation rental companies that aim to optimize operations and maximize profitability.

What is a PMS and Why Do You Need It?

A PMS (Property Management System) is the core of any tourism management software. Its main function is to centralize and simplify daily operations, bringing together on a single platform:

  • Booking and availability management

  • Real-time synchronized calendars

  • Price, payment, and billing control

  • Automated communications with guests

  • Reports and analytics for decision-making

In other words, a PMS is the backbone of your tourism business.

The Avantio PMS centralizes these tasks and connects them with additional modules, so you don’t need to use multiple tools to manage your company.

First Access: Home Page and Dashboard

When you log into Avantio with your email, password, and language, you access the home page and the dashboard.

  • The home page gives you access to all modules and main sections.

  • The dashboard provides an overview of your business activity: active bookings, availability, pending tasks, or important alerts.

From these entry points, you can easily navigate to any module.

Organized into four key modules:

  • VRMS: operational management of the business. Includes bookings, planning, operations, properties, reports, accounting, owners, clients, and suppliers.

  • Revenue: pricing strategy, discounts, and revenue optimization.

  • Channel PRO: connection with portals and OTAs (Online Travel Agencies such as Booking.com, Expedia, or Airbnb). From here you manage stay rules, price modifiers, and availability control to keep all information synchronized.

  • Web: website customization, online check-in, and guest access.

Clicking each tab displays its categories and subcategories.

VRMS Categories

  • Dashboard: centralized panel to view the overall business status.

  • Planning: booking calendar.

  • Bookings: list and management of all reservations, configuration of reviews, portals, and booking conditions.

  • Operations: coordination of operational tasks such as cleaning, maintenance, and check-in/check-out.

  • Reports: automated reports for owners, finances, and overall performance.

  • Properties: property administration (data, features, prices, and check-in/check-out rules).

  • Owners: management of owner profiles, settlements, contracts, and expense control.

  • Clients: guest profiles with information and creation of personalized quotes.

  • Suppliers: management of external services (cleaning, maintenance, etc.) and payment control.

  • Accounting: generation and configuration of financial data such as invoices, payments, tourist taxes, and bank files.

  • Exports: data export (financial, guests, legal reports, etc.).

  • Market Place: connection with external portals.

  • Harmony: automation of message templates for communication with clients or owners, and review of sent solutions.

  • Settings: system configuration, templates, user access, and payment platform setup.

  • Dynamic Pricing: revenue management tool that automatically adjusts prices based on demand and occupancy.

  • Rates: configuration of base prices per property and season.

  • Discounts and Supplements: additional charges or reductions applied to specific seasons.

  • Promo Codes: creation and control of discount coupons for marketing campaigns.

  • Non-refundable Rates: special rates with strict cancellation policies.

  • Occupancy Rules: guest limits, minimum/maximum stays, and occupancy policies.

Channel PRO Categories

  • My Business: business overview with portal comparisons.

  • Property Activation: property publication and control of which listings are active in the system or connected to portals.

  • Portals: management of OTA connections (Airbnb, Booking, Expedia, etc.) and configuration of each portal.

  • Stay Rules: setup of minimum/maximum stays and blocking of sales on specific portals or dates.

  • Price Modifiers: adjustments to base rates under certain conditions.

  • Improvement Center: tools and suggestions to optimize visibility and performance of properties on portals.

  • Channel 1.0: initial version of Avantio’s channel manager and website synchronization.

Web Categories

  • Website Settings: customization of the booking engine and integrated website (design, content, and booking options).

  • Online Check-in: collection of guest data and contract signatures prior to arrival.

  • Guest Area: customization of the online portal for clients, with rules and additional information.
