Below you’ll find the instructions needed to complete the import of your accommodations from the Avantio (VRMS) system.
Points to Consider
After carefully reading this document, you must accept the conditions outlined in the following points.
This product/feature allows you to automatically create accommodations, rates, and occupancy rules in VRMS based on the existing listings in one or more Airbnb accounts.
This process is carried out to import accommodations using the data obtained from Airbnb.
The process will create one accommodation for each existing listing in your Airbnb account(s).
This import will be performed automatically once the preliminary steps described below have been completed.
The import may take varying amounts of time depending on the number of properties being imported and in case any errors or unforeseen issues arise.
Steps to Follow for the Import
The import of accommodations will be done before starting the consulting sessions. This covers the period between signing the contract with Avantio and the start of the sessions, according to Avantio’s implementation protocol.
Meeting the following requirements is essential to ensure the accommodation import is completed correctly.
The company name must be correctly configured
The locations of the accommodations must be entered in Avantio
The currency in Avantio must match the one used in Airbnb
The default system extras that the client will use must be configured
You must have the bed distribution by bedroom set up in Airbnb
From the VRMS account configuration, determine whether prices include taxes or not
Check that the languages set up in Airbnb are also enabled in VRMS
Important
Following these steps means you will temporarily disconnect your current Channel Manager system (if you have one) and link your Avantio account to Airbnb in offline mode, so please read the terms carefully.
Once the import is complete, you must disconnect Avantio from your Airbnb account and reconnect your current PMS (if applicable) until the implementation with Avantio is finished.
Below are the conditions and important aspects to keep in mind. Please read carefully and, if you have any questions, consult the person responsible for your implementation:
A range of data related to the accommodation will be imported from the existing advertisements in your Airbnb account(s). You can find the features that can be imported in the next section; however, you must enter each accommodation (after the import) to check that the information is correct and add any missing features:
Accommodation name, type, location, capacity, bedrooms and their distribution, compatible features, tourist registration number, extras*, texts and descriptions in the languages your company has set up in your VRMS account, photos, base rates without discounts or surcharges with prices per accommodation for up to 3 (three) years in advance where synchronization is of the Daily Rates type (rates synchronized by Length of stay cannot be imported), minimum nights, and allowed check-in and check-out days for up to 3 (three) years in advance.
Discounts and surcharges will not be imported. This information must be added after the accommodations are imported, during the system implementation.
For agencies that disconnect their current channel manager during the import, please note that bookings made through Airbnb during the accommodation import will not go directly to your current channel manager provider, since the Airbnb account has been disconnected for the import. This means that any bookings received during this time must be manually added to your current channel manager or PMS. Avantio is not responsible for any account misconfiguration or overbooking situations that may result from this step.
If you have more than one Airbnb account, you must follow the steps for each account. This means temporarily disconnecting your current Channel Manager system (if you have one) and linking your Avantio account in offline mode with each Airbnb account you have.
As in the previous example, if you have more than one Airbnb account, the import will be done for all accounts, but not all at the same time. If, for any reason, the accounts are imported separately or consecutively, the properties from the first import will be updated with Airbnb data, overwriting the configuration of any data that is not compatible between Airbnb and Avantio.
It is not possible to import accommodations from co-host accounts.
It is not possible to import accommodations with a currency different from the one set in Avantio VRMS. For example, if the default currency in Avantio is USD, you cannot import an accommodation if it is set to a different currency, such as EUR, in Airbnb.
If this is your first experience with a channel manager, please note that Airbnb will change its commission on new bookings as soon as it is connected to Avantio (or any channel manager).
You need to check that the bed distribution is correctly set up in each bedroom on Airbnb, as accommodations with rooms without beds will not be imported into Avantio.
After disconnecting Avantio following the import process, it’s possible that rates or occupancy rules in Airbnb may become misconfigured. This is not due to the process itself, but to the connection and disconnection from the portal. We recommend reviewing these settings in Airbnb at the time of disconnection, after the import.
Please note that connecting with Avantio may result in an increase in commissions charged by the portal. We recommend checking directly with the portal for detailed information and to assess any possible changes in economic conditions.
