Decide when to accept requests and keep control of your availability

In accommodation management, it's not always advisable to accept immediate bookings. The Under Request feature of Avantio allows you to receive requests subject to your approval or set periods where direct bookings are not accepted.
This way, you can analyze each case and decide whether to convert a request into a booking or reject it.

Key differences between requests and "Under Request" periods

Requests for information or availability

  • Do not block the calendar (except for Airbnb's Request to book, which blocks it for 24 hours).

  • Are incoming requests from potential guests.

  • You decide whether to convert them into actual bookings or reject them.

"Under Request" periods

  • Are configured from the VRMS so that during those dates, immediate bookings are not accepted.

  • On compatible portals, these periods do block the calendar while they are active.

  • It's a status you define and that is reflected on the portals.

"Under Request" periods

Allow you to receive multiple requests for the same dates and then choose which to convert into a booking.

How to create an "Under Request" period

  1. Log into VRMS and open "Planning" in the left side menu.

  2. Right-click on the desired dates.

  3. Select "New Under Request period."

  4. (Optional) Enter "Under Request" as the customer name or add the actual tourist's name if you wish to personalize it.

How they appear in the VRMS and on the web

  • In the VRMS planning, "Under Request" periods are clearly marked.

  • On the web (both on Avantio and websites with an integrated booking engine), tourists will not be able to book directly during those dates; they can only make an Availability Request using the "Contact" button.

How to handle a request for information or availability

  1. Access the VRMS bookings list.

  2. Filter by "Unreviewed Requests."

  3. You have two options:

    • Convert the request into a pre-booking.

    • From the "Actions" button, mark it as dismissed so it disappears from the pending panel.

Useful Tip

Regularly check the "Unreviewed Requests" filter to ensure no inquiries go unanswered.

Common Mistakes

  • Confusing requests with actual bookings: remember that a request does not become a booking until you manually convert it.

  • Forgetting to dismiss requests: if you don't, they will continue to appear as pending on the VRMS home page.

The Under Request mode gives you full control over which requests become bookings and when.
