Activate Full Availability Control with an Owner Booking
Managing tourist accommodations requires coordinating the use of the property among guests, owners, and acquaintances. Owner bookings help keep the calendar updated, avoid double bookings, and ensure smooth planning without unexpected issues.
What is an owner booking?
This is a booking intended for the use of the owner, family, or friends during a specific period. Its main function is to block the calendar so those dates cannot be offered to tourists.
Main Benefits
Full availability control: you'll know for sure which days are occupied.
Clear record: reliable tracking of unavailable periods.
Extras management: ability to add services like bed linen or towels.
Optimized planning: improves coordination between the agency and the owner.
How to Create an Owner Booking
There are two options: the agency can create it, or the owner can do it from the Intranet.
Creation by the Agency
The agency has full control to set up these bookings. There are two ways:
From the Planning
Access
Avantio → Planning.Select accommodation and dates.
Click on "Create booking" and check "Owner booking."
Indicate if the occupant is the owner or family/friends.
Save the booking.
From the Bookings List
Go to
Bookings → Bookings list → Create.Choose "Owner booking."
Mark if it is the owner or not.
Complete dates, occupant, and extras.
Save the booking.
Attention to Details
It is essential to indicate if the stay is for the owner or family/friends for effective internal tracking.
If the agency creates the booking, configured extras (like bed linen or towels) are added automatically.
The agency can modify the dates of an existing booking if necessary.
Creation by the Owner (Intranet)
Requirements: the owner must have the "Availability – Modify" permission.
Allowed Actions:
Log in to the Intranet.
Create bookings by selecting accommodation and dates.
Delete future bookings.
Limitations:
Dates cannot be modified after creating the booking. For changes, it is necessary to delete the future booking and create a new one or ask the agency to modify it.
Extras are not automatically included; the owner must request them from the agency.
Cancellation of Owner Bookings
When an owner booking is canceled, either by the owner or the agency, the system automatically marks it as Owner Canceled. This allows distinguishing these cancellations from regular ones, maintaining calendar control and keeping the record updated.
Helpful Tip
Always use this type of booking to block dates for personal occupancy and avoid conflicts with tourist bookings.
Clearly indicate if the stay will be for the owner or family/friends to facilitate tracking.
Regularly review the planning to ensure availability is up to date.
Control, Tracking, and Autonomy
Thanks to owner bookings, you can quickly block dates when the accommodation is not available for tourists, keep a detailed record of personal or acquaintances' stays, and give owners the autonomy to manage their occupancies from the Intranet.
