Manage Each Reservation Accurately from the Tabs in the VRMS Record

Manage all reservation information in one place

When managing a reservation in VRMS, it's important to have everything at your fingertips: customer data, payments, communication, commissions, and settlement with the owner. The reservation file consolidates all this information in one space, with tabs designed to facilitate your daily management, reduce errors, and save time.

The main tabs of the reservation file

In each reservation, you'll find several tabs, each with a specific function to help you maintain control from start to finish.

1. Data

Here you manage the essential information of the reservation:

  • General data: accommodation, dates, customer profile, occupants, reservation status, and source portal.

  • Amounts: breakdown of the rental, extras or added services, and tourist taxes.

  • Payment breakdown: control of payment status, security deposits, and associated cards.

  • Portal expenses: automatic recording of the sales channel commission.

  • Reviews: view and request guest reviews.

  • Scheduled tasks: check automatic actions, such as Harmony sends.

2. Messages

Manage all communication from one place.

  • Basic data: shows who the customer is, the source channel of the reservation, and the agent who handled it.

  • Message history: direct access to conversations in the Unified Inbox (with guest, owner, or supplier), as well as the history of sent templates, with dates, sender, and receiver.

Attention to detail: the magic wand icon indicates that a message has been sent automatically.

3. Commercial margin

Provides a clear view of the economic flow associated with the reservation:

  • Income from rental, extras, and taxes.

  • Card commissions (if you have French Accounting activated).

  • Payment to the owner.

  • Portal commission.

  • Status of tax payments.

Best practices

Always review this tab before making a settlement to avoid discrepancies between the amounts collected and payments to the owner.

4. Owner settlement

Facilitates the calculation of the amount to be settled with the owner.

  • By default: shows the rental and payment according to the configured contract.

  • Advanced options: allows you to modify the base amount, customize the payment, exclude the reservation from the settlement, or add specific notes.

Attention to detail

If the reservation is already settled, you will not be able to edit these fields.

5. Online Check-In

Available if you have the module activated in your account. It allows you to check the status of the guests' online check-in. For more information, see the guide corresponding.
