Understand how the owner settlement is calculated

See step by step how the net payment to the owner is calculated and review which items, commissions and deductions are included in the calculation. You can now view each step of the calculation directly in the VRMS.

Easily check where the owner payment comes from

When reviewing a settlement, you may need to understand exactly how the final amount due to the owner was calculated.

The Owner Settlement Calculation Breakdown panel lets you review in detail the calculation carried out by the system for a booking. This way, you can check which contract was applied, which items were involved, and how the final net payment was reached.

When should you use this feature?

Use this breakdown when you want to:

  • Check how a specific net payment to the owner was calculated.

  • Verify that the calculation performed by the system is correct.

  • Explain to the owner where their settlement amount comes from.

  • Investigate a possible difference or discrepancy.

  • Review the impact of a contract's configuration on settlements.


Before you start

Before checking the breakdown, keep the following in mind:

  • The booking must have an owner contract assigned.

  • You must have access to the Bookings module and the Owner Settlements module.

  • The calculation structure will depend on the contract type configured for the property.

Currently, the breakdown covers the following contract types:

  • Intermediation.

  • Direct sale — % of the booking.

  • Direct sale — fixed payment per night or rate.

It is also advisable to review the property's contract configuration beforehand, especially if you need to interpret commissions, costs, or other deductions.

If the booking has no owner contract assigned, the panel will open but will display the message:

"This booking has no owner contract assigned."


Where can you access the breakdown?

You can access the panel from three different points in VRMS. In all cases, the same breakdown interface opens:

From the booking record:

Access the breakdown directly from the booking when you want to review the calculation for a specific booking.

From the pending settlements preview:

You can also access the breakdown while reviewing the items pending settlement to the owner. This option is particularly useful for validating amounts before generating the settlement.

From the detail of a processed settlement:

If the settlement has already been generated, you can view the calculation from its detail. In this case, the panel works in historical mode and shows the calculation as it was configured at the time the settlement was processed.


What information will you find in the panel?

When you open the breakdown, you can identify the booking, the property, and the contract used to perform the calculation.

You can also view the net payment to the owner and follow the different steps involved in reaching the final amount.

The system only displays the items applicable to that booking and its contract configuration. Therefore, steps that do not apply to the calculation will not appear in the breakdown.

In addition, after each operation the cumulative amount is displayed, making it possible to follow the progression of the calculation until the final result is reached.


Calculation result

The Total net amount to settle to the owner shown at the end of the breakdown must match exactly the corresponding amount displayed in:

  • The booking record.

  • The pending settlements preview.

  • The detail of a processed settlement.

If these amounts do not match, report it to the Customer Experience team for review.


How is the breakdown calculated according to the contract type?

The content of the panel changes depending on the contract applied to the property.

The system only shows the items that correspond to the specific configuration of the booking.


Intermediation Contract

In an Intermediation contract, the calculation may include the following items:

  • Gross rental amount: This is the starting point of the calculation and corresponds to the total price of the booking. This item always appears.

  • Rental VAT exclusion: If the contract has VAT on the rental configured, the system may exclude it from the base used for the calculation. The applied operation is: Rental amount ÷ (1 + VAT %) This step only appears when the contract has rental VAT configured.

  • Portal markup exclusion: If there is a markup associated with the portal, it may be deducted from the calculation base. The operation is applied to the rental amount to remove this markup. This step only appears when a portal markup is configured.

  • Owner costs before commission: Certain costs may be deducted from the base before calculating the contractual split. The operation is: Calculation base − costs This step only appears when costs are configured to be deducted before the commission calculation.

  • Portal or agent commission before the split: The portal or agent commission may also be deducted before performing the contractual split. This item only appears when the contract configuration establishes that this commission must be deducted beforehand.

  • Owner payment percentage: Once the corresponding base is determined, the owner payment percentage defined in the contract is applied. The operation is: Calculation base × owner's corresponding percentage This step always appears in Intermediation contracts.

  • Portal or agent commission after the split: Depending on the configuration, the portal or agent commission may also be applied after the percentage split is performed. For this reason, the portal or agent commission can appear at different points in the breakdown.

  • Tourist tax: If, according to the contract, the tourist tax corresponds to the owner, its amount is added to the calculation.

  • Owner extras: Extras may also be incorporated fully or partially into the owner's payment, depending on the configuration set for each type of extra.

  • Total net payment to the owner: This is the final result of the calculation. It appears highlighted in the panel and matches the amount shown in the settlement summary.

Why can the portal or agent commission appear twice?

The portal or agent commission may be deducted:

  • Before calculating the contractual split.

  • After calculating the amount corresponding to the owner.

The position will depend on how the contract is configured.


Direct Sale Contract — % of the booking

In Direct sale — % of the booking contracts, the calculation may include the following items:

  • Gross rental amount: This corresponds to the total price of the booking and is the starting point of the calculation.

  • Rental VAT exclusion: If the contract has VAT on the rental configured, it may be excluded before continuing with the calculation.

  • Portal markup exclusion: When a portal markup is configured, it may be removed from the base on which the split will subsequently be performed.

  • Owner costs before the split: If certain costs are configured to be applied before the split, they are deducted from the base.

  • Portal or agent commission before the split: The portal or agent commission may be deducted before calculating the owner's commission when so defined in the contract.

  • Owner commission: The owner commission percentage configured in the contract is applied. Depending on the configuration, this amount may include or exclude VAT.

  • Portal or agent commission on the owner payment: The portal commission may also be configured to be deducted after calculating the amount corresponding to the owner. In that case it will appear in this part of the breakdown.

  • VAT on the owner payment: If the contract establishes that VAT must be applied additionally on the owner's commission, the system incorporates it into the calculation.

  • Tourist tax: When the tourist tax corresponds to the owner according to the contract, it is added to the resulting amount.

  • Owner extras: Extras assigned fully or partially to the owner are also incorporated into the calculation.

  • Settlement VAT: The breakdown may show an informational block with the tax details of the settlement. This block is informational in nature. The settlement VAT is not added again to the net payment if it is already part of the amounts used in the calculation. Depending on the contract configuration, this block may include:

    • The base corresponding to the owner's commission and certain extras excluding VAT.

    • The VAT applied to that base.

    • The withholding tax applied to the base.

  • Total net payment to the owner: This is the final sum corresponding to the owner and matches the amount shown in the summary.


Direct Sale Contract — fixed payment per night or rate

In the Direct Sale contract type, the calculation does not necessarily start from the total price of the booking, but from the rate configured for the owner.

  • Fixed rate per night: The system uses as a starting point the per-night amount established in the contract. This item always appears.

  • Portal or agent commission: If the configuration establishes that the portal or agent commission must be deducted from the owner's payment, it will appear as a deduction within the breakdown.

  • Tourist tax: The tourist tax is added when the contract establishes that it corresponds to the owner.

  • Owner extras: Extras assigned fully or partially to the owner may also form part of the settlement.

  • Settlement VAT: Depending on the contractual configuration, an informational block may be shown with:

    • The base excluding VAT.

    • The VAT applied.

    • The corresponding withholding tax.

  • Total net payment to the owner: This is the final result of the calculation and matches the amount shown in the settlement summary.


Processed settlements and historical mode

When you view the breakdown of an already processed settlement, the panel shows the calculation as it was at the time that settlement was generated.

This means that even if you later modify the owner's contract, the historical breakdown will not change.

This way you can check exactly which configuration was actually used to calculate a previous settlement.

For pending settlements, on the other hand, the breakdown reflects the current applicable configuration.


What happens with settlements prior to this feature?

If a settlement was generated before this feature was available, the system may indicate that the breakdown is not available.


Limitations and considerations

Keep the following conditions in mind:

  • The panel is available only in account administrator views.

  • Currently, owners cannot access this breakdown from the Owner Intranet.

  • Processed settlements are displayed in read-only mode.

  • Historical settlements retain the calculation used when they were generated, even if the contract is subsequently modified.

  • Settlements processed before this feature was activated may not have a breakdown available.

If you are going to make significant or bulk changes to contract configurations, first check the result on a sample of existing bookings.

This will allow you to understand the impact of the changes before applying them broadly.


Best practices

  • Keep contract rules as simple and clear as possible.

  • Avoid accumulating unnecessary deductions within the same contract.

  • After modifying a contract, check the breakdown of a booking to verify the result.

  • Periodically review the configuration of your contracts.

  • Use the breakdown before generating a settlement if you need to validate an amount.

  • Always check which contract is identified in the panel when investigating a calculation.


Common errors

  • The panel shows no calculation: Check that the booking has an owner contract assigned. If no contract is linked, the panel will display an empty state.

  • "This booking has no owner contract assigned": The net payment does not match the booking or the settlement. The final amount in the panel must match the amount shown in the booking record and the corresponding settlement. If there is a difference between these amounts, report it to the Customer Experience team and include a screenshot.

  • The breakdown shows unexpected items: Review the configuration of the contract applied to the property. The contract name appears in the identification block of the breakdown and allows you to check which deductions, commissions, and conditions are involved in the calculation.

  • I modified the contract, but a previous settlement still shows the old calculation: This behaviour is correct. Processed settlements retain the calculation and configuration that existed at the time they were generated. Subsequently modifying the contract does not change the historical breakdown.


Frequently asked questions

Does the panel show the current contract or the one that was in effect when the settlement was generated?

It depends on the settlement status.

For a processed settlement, the panel shows the contract and the calculation as they were when the settlement was generated, even if the contract has been subsequently modified.

For a pending settlement, the breakdown reflects the current contract configuration.

Can the owner access this breakdown from the Owner Intranet?

No. Currently, the panel is available only to account administrators within VRMS.

Owners cannot access it from the Owner Intranet.

What happens if the booking has no contract assigned?

The panel can open, but it will not show any calculation steps.

Instead, the following message will appear:

"This booking has no owner contract assigned."

To view the breakdown, the property must have an owner contract linked.
