Start by Setting Up Your Portals to Control Each Commission

When working with multiple sales channels, tour operators, or travel agencies, every commission matters. Properly setting up your portals not only ensures precise control over expenses but also saves you from manual calculations and prevents surprises in your settlements.

Note that this calculation will not apply if you have selected the option in Channel PRO to record the commission sent by the portal through the channel.

What Can You Do in the "Portals" Section?

In this section, you can:

  • Create and view the list of connected portals.

  • Set up contact details, address, and banking information.

  • Define the commission percentage for each portal or collaborating agent (travel agencies, tour operators, etc.).

Access from: VRMS → Bookings → Portals.

Main Benefits

  • The system automatically calculates the commission for each booking based on the portal's configuration.

  • Avoid manual errors and ensure consistency in your reports and settlements.

  • For portals like Booking, Airbnb, and Homes & Villas by Marriott, you can directly record the commission sent from Channel PRO.

How to Set Up a Portal

  1. Connect the portal from the Channel Manager or Channel PRO.

    • Its name and logo will appear automatically.

    • The portal's profile is generated as soon as the connection is activated (no need to wait for the first booking).

  2. If needed, add a portal manually by clicking "Create."

    • The name must match the portal's web (e.g., Booking.com).

    • When creating a new portal, the system will not automatically add it to the Channel Manager/PRO or create any connection.
      They will be shown with the Manual label.

  3. Complete the information:

    • General data, contact, and address.

    • Banking information (optional, but recommended to have all data at hand).

  4. Define the portal's commission:
    You can choose from three options:

    • Only the rental amount.

    • Rental amount + final cleaning.

    • Rental amount + all extras.

The amount on which the portal applies its commission depends solely on the portal itself, so it's important to understand how each one works. If you need more information, contact the portal directly or review the agreement signed with them.

Pay Attention to Details

  • If you manually add extras to a booking, the commission will automatically recalculate only if you have set the option "rental + all extras."

  • In other cases (rental only, rental + cleaning, or commission sent by the portal), the commission does not change.

  • For Booking, Airbnb, and Homes & Villas by Marriott, you can decide whether to use the exact commission sent by the portal.

Activate the Exact Commission Sent by the Portal

Go to Channel PRO:

  • In Airbnb: Configuration → Payment Settings.

  • In Booking: General Configuration → Commission Amount.

  • In Homes & Villas by Marriott: the option is in the same section.

Activate the option to record the commission sent directly by the portal.
For other portals, the commission shown in the booking profile in VRMS will be the percentage configured in the portal's profile.

Best Practices

  • Always review the contract with each portal to confirm how they calculate their commissions.

  • Use tags in intermediary portals: this will allow you to filter bookings and improve communication with Harmony.

Properly setting up your portals is key to ensuring your commissions are calculated automatically and reliably.

What is the difference between an "Official" portal and a "Manual" one?

An official portal is one you connect from Channel Manager or Channel PRO. Manual portals are created by you and do not generate an automatic connection.

Where does the configured commission appear in the system?

The configured commission appears in each booking, under the "Portal or Intermediary Expenses" section. Additionally, information will be shown about whether the commission has been modified, when, and by which user. This is the field used in reports, commercial margin, and settlements.

What happens if I modify the commission after registering a booking?

The system keeps a history with information on who modified it, when, and how it was calculated.
