From Channel PRO, you can activate the portal in just a few steps and have all your information automatically synced. Less hassle and more control, all in one place.


Step-by-step guide to activate the connection

The process consists of 5 guided steps:

  1. Go to the portals section in Channel PRO.

  2. Click the Connect button on Booking.com.

  3. Review the minimum requirements and confirm that you have an active contract with Booking.com.

  4. Set up the general settings (if you don’t have an active Booking.com account, see this article on how to generate a LEID).

  5. Click Next to complete the connection.

👉 After the general activation, you’ll be able to customize the configuration for each property from the accommodations activation section.


General settings you need to configure

In step 4 of the process, you’ll need to define key parameters:

  • LEID (Legal Entity ID): your Booking.com account’s identification number (not tied to a specific hotel). If you don’t have it, check this article on how to generate it.

  • Price increase or decrease: adjust the base rate set in your VRMS by a percentage.

  • Connection type: choose between full or partial connection, more information here. Keep in mind that this setting cannot be changed from Channel PRO; if you want to change it later, you’ll need to contact Customer Support.

  • Release: the period between when a guest can make a booking and when they can check in. (Example: They book today to check in tomorrow, that’s a 1-day release.)

  • VAT applied: set the VAT rate to be applied to the accommodation rental. This should match the rate you have set in the VRMS billing rule. (For companies that operate on an exclusive VAT basis, such as US companies, this VAT setting is overridden by the VAT configured in the Taxes section of VRMS).

  • Cancellation policy: select the general policy. Later, you can add an alternative and a non-refundable option, or even set seasonal policies.

  • Payment configuration: define who manages the booking payments, always in line with what you’ve agreed with Booking.com.

👉 Pay attention to the details: payment configuration is not synced with the portal, but it does affect how bookings are recorded and displayed in your VRMS.


Helpful tips

  • You can only add one LEID per Channel PRO account. If you work with multiple Booking.com accounts, make sure to use the LEID where you want to create new properties.

  • Always review the configured cancellation policy before activating your properties: changing it later may cause discrepancies with guests.

  • If you apply price increases or decreases, test with a sample booking to see how the final amount is displayed.

👉Attention to detail: payment methods and terms configuration is not synced with the portal, but it does affect how bookings are recorded and displayed in your VRMS.

Here we explain how it is shown depending on the option you configure:

a) The portal charges the total of the booking (rent & extras)

>>> Use this option if you work with Payments by Booking. If you connect and create new listings from Avantio, you must configure this for the hotel in the extranet.

b) The portal charges the rental amount, and the agency charges the extras

>>> Use this option if you work with Payments by Booking but will charge the extras yourself in the system.

c) The portal charges a % of the rental and the agency the remainder

>>> Use this option if you work with Payments by Booking but will charge a percentage of the booking yourself.

d) The agency makes all the charges associated with the booking configured according to the cancellation policies

>>> This option will make payments be recorded according to the cancellation policy that applies to each booking, so that payments are recorded with the date and amount based on that policy. It is recommended when payments are managed in a hybrid way, meaning some hotels with Payments by Booking and others with aPay. It is also recommended when you manage payments for all your hotels.

e) The agency makes all the charges associated with the booking set out in the payment terms

>>> Use this option if you will manage charges for all your hotels and prefer payments to be recorded according to the booking terms configuration in the VRMS, regardless of what is recorded and indicated in Booking.com at the time the booking is made.

Can I have multiple LEIDs in Channel PRO?

No. Only one LEID is allowed per account.

Can I change the connection type (partial or full) after activation?

Not from Channel PRO. To change it, you’ll need to contact the Customer Support team.

What happens if I don’t set up payment management correctly?

The information won’t sync with Booking.com, but it could cause inconsistencies in your internal VRMS records.

Can I add cancellation policies later?

Yes. After activation, you can add a stricter policy, a non-refundable one, and seasonal policies.
