What is an owner booking?

An owner booking means that the accommodation will be used by the owner or their family/friends. When registered in Avantio:

  • The calendar is automatically blocked so no tourist can book on those dates.

  • A clear control of occupancy and availability is maintained.

  • Additional services (towels, bed linen, special cleaning) can be applied, but only if the agency creates the booking. The owner cannot add extras.

Modify an owner booking

If you need to change a future booking:

  • Locate the booking from the Planning or the Bookings List.

  • Click on "Edit."

  • You can delete the booking and then save the changes.

  • The owner can delete future bookings they have created themselves.

  • Only future bookings can be modified; past bookings are locked to preserve the history.

  • Dates cannot be changed: if changes are needed, the booking must be deleted and a new one created, or contact the agency.

  • Extras cannot be added by the owner; they must request them from the agency.

  • At the end of the modification, don't forget to click "Save."

Cancel an owner booking

To cancel:

  • Select the booking you wish to cancel.

  • Click on "Cancel."

  • The status will automatically change to "Owner Cancelled."

  • Check the calendar to ensure availability is updated correctly.

When a booking is cancelled (by owner or agency):

  • The system changes the status to "Owner Cancelled" to differentiate it from other cancellations.

  • This helps maintain a clear record of availability.

Common Errors

Forgetting to update the calendar after cancelling can cause duplicate bookings or occupancy conflicts.

Management from the Intranet (by the owner)

If the owner has access and has the Availability – Modify permission, they can:

  1. Log in to their Intranet.

  2. Create their own bookings by choosing accommodation and dates (without agency intervention).

  3. Delete future bookings they have created themselves.

What the owner cannot do

  • Modify dates of an already created booking.

  • Add extras themselves to a booking; they must request them from the agency.

  • Create bookings in guest charge mode with extras: this must be managed by the agency if applicable.
