HTML templates help you maintain consistent and professional communication with your guests. To get the most out of them, it's important to understand how certain elements work, how they appear, and what you need to consider depending on the channel they're sent through.

Below, we explain each key point so you can work with your templates confidently and clearly.

Manage the Languages for Each Communication Template

If you work with guests from different countries, you can create your templates in multiple languages. Currently, the system does not include an automatic translator, so you'll need to manually adapt the content in each language you want to use.

This way, you ensure that each guest receives the message in the right language and with the correct tone.


Use Booking Dynamic Fields Correctly

Dynamic fields let you display automatic information related to the booking, accommodation, or guest. These fields depend on the VRMS module where the template is stored.

How to Identify Dynamic Fields in the Editor

In the template editor, dynamic fields appear inside boxes and only show the field name. You won't see the actual data there, just the label.

To check how the real, final information will appear, you need to view a message from the Unified inbox by opening the chat for a specific booking.


Selecting Available Fields from the List

Dynamic fields can't be created manually. You can only select those already available in the system's list.

That's why it's important to carefully review the field catalog before designing your message, so you can structure the content based on the information you can actually display.

Before activating a template with dynamic fields, send it as a test from a real booking. This way, you can confirm that all the data fills in correctly and that the message remains consistent and well-formatted.


Adjust the Company Color of the Template from Company Configuration

The color of HTML templates adapts to the company color defined in your Company configuration.

If you want to change the color that appears in your communications, you need to do it from VRMS → Company Configuration → Corporate Identity.

Keep in mind that the color change is applied globally according to the configured color, not from the individual template. This way, you maintain a consistent visual identity across all your communications.


Apply the Available Text Formats in the HTML Editor

The editor lets you use different formatting options, such as headings, font types, and font sizes.

However, the text format must be adjusted to the options available in the editor. This ensures the design is compatible with different channels and devices.

We recommend structuring your content using the available styles, prioritizing clarity, visual hierarchy, and readability for the guest.


Add External Images Using Web Links

You can include images in your templates to enhance your communication. Images already in the accommodations' photo gallery can be used directly.

If you want to add a different image, you'll need to upload it to a web server first and link it using its public URL.

It's important to make sure the link is accessible and stable, as the image will be displayed based on that external address.

Understand Template Compatibility with OTA Channels

Not all channels handle HTML templates the same way. That's why it's important to consider how the content is sent depending on the OTA.

Sending Templates to Booking.com and Vrbo

On channels like Booking.com and Vrbo, templates are currently sent in plain text format. This means the HTML design is not preserved and the guest will only receive the text content.

Sending Templates to Airbnb

For Airbnb, the template is sent via a link. The guest accesses the content through that link, where the HTML design is preserved.


Knowing these differences helps you adapt the wording and structure of your message for each channel, always prioritizing content clarity.

Pay Attention to Details

If you use visual elements, colors, or complex structures, check how the message will look on each channel. For those that only support plain text, make sure the message remains clear and professional without relying on design.


Use the Signature Field as an Information Space

The signature field within the template is used to add the space for the signature.

Currently, the system does not include a feature for requesting or managing electronic signatures. This means no automatic prompt will be sent to the guest to return the signed document, nor any instructions on how to do so.

If you need the guest to sign and return a document, you'll need to explain manually in the message text how they should proceed.
