Plain Text Templates: Improve Your Communication with Guests from Portals

What are plain text templates?

This is a type of template that allows you to send messages in plain text format (without links or HTML or rich content).

These templates are designed to ensure compatibility with channels that do not properly support HTML, such as some booking portals and future messaging channels.

Plain text templates can be used for:

  • Manual sending from the Unified inbox

  • Automation via Harmony

Why should I set up plain text templates?

Some communication channels do not process HTML templates correctly, which can cause:

  • formatting issues

  • unnecessary links

  • poor content display

Plain text templates allow for:

  • Compatibility: Messages are clearly readable on portals that restrict HTML.

  • Operational efficiency: Use standard replies from the Unified inbox without having to edit formatting.

  • Technical foundation: Prepares the system for future integrations with SMS and WhatsApp.

How can I create plain text templates?

When creating a new template, the system lets you choose the type. To create a plain text template without HTML, you should select the "Text template" option.

If you select Text template:

  • Name and Language are required.

  • Content is limited to plain text.

  • Compatible variables can be inserted.

  • No HTML editing tools are included.


Automatic fields

Just like in the email templates you already have set up, you can insert dynamic variables in text templates that will be automatically replaced with data configured in your Avantio account. In our system, these variables are called fields.

Examples of fields you can insert:

  • stay dates

  • number of guests

  • booking amounts

  • property information

Important:

Only variables compatible with plain text will be available.

Duplicate your templates to save time

Just like with email templates, you can also duplicate plain text templates to save time when creating them. Keep in mind, however, that it is not possible to duplicate email templates into plain text, or plain text templates into email, as the two formats are not compatible with each other.


Manual sending from the Unified inbox

From the inbox chatbox:

  1. You can open the templates icon.

  2. The system shows two options:

    • Email template

    • Text template

  3. When you select text template:

    • a side panel opens

    • the list of available templates is displayed.

You can:

  • search templates

  • preview content

  • edit templates

  • create new templates

When you select a template:

  • the content loads in the message editor

  • variables are automatically replaced

  • you can edit the message before sending


Automation with Harmony

Plain text templates can be used within Harmony solutions.

When creating a solution:

  1. The PM selects the message type:

    • Email

    • Text

  2. Selects the corresponding template.

  3. Defines the delivery method.

Depending on the type of message selected, some configuration options may change (for example, email-only options like CC or BCC).


Viewing in the booking

Sent communications are recorded in the booking.

Scheduled tasks: shows automated messages set up via Harmony.

Message history: shows messages sent manually or automatically.
