When managing bookings, every detail in communication matters. Templates help save time, convey trust, and maintain a consistent brand style. Thanks to blocks and integration with partners, you can enrich messages with practical and personalized information to enhance the guest experience.


Key Definitions

  • Dynamic Field: data that is automatically inserted into the template from a database (for example, the customer's name or the booking date)

  • Template: a model that combines predefined text with elements that can be modified and filled in.

  • Partner: connected external application that provides information to the template (locks, online check-in, insurance, etc.).


How to Set Up a Template

  1. Go to Configuration → Templates.

  2. Decide whether you want to create from scratch, duplicate, or edit an existing one.

  3. Add the necessary blocks and fields.

  4. Set up the languages: translate all texts or copy a default language to avoid empty emails.

  5. Save the changes.

Helpful Tip

Select a corporate color from the company configuration so that all buttons and visual elements maintain the brand identity.

Attention to Detail

If you hover over an inserted field, you can identify the group it belongs to and the information that will be shown to the guest.

Electronic Lock Block

If you work with an electronic lock partner (Operto, Homeit, Yacan, etc.), you can add a special block that automatically sends the access code to the guest.

Steps to Activate It

  1. Create a template and select the category Bookings or Bookings – Check-in.

  2. In the right sidebar, within the "Content" section, add the "Electronic Lock" block.

  3. Set up the template in all necessary languages.

  4. Send the communication from the Unified Inbox or automatically with Harmony.

How it works: the partner generates the URL with the access code and syncs it with Avantio. The guest will receive an "Access" button that will open the page with their credentials.

Common Errors

  • If the "Access" button doesn't work, the partner hasn't generated or synced the URL. Contact them directly.

  • Keys are only generated for confirmed bookings.

Partner Links in Templates

You can now also add links or partner information directly in templates in the Bookings category.

Compatible Partners

  • Electronic Locks: StayMyWay, Operto, Akiles, HomeIT, Igloohome, Vikey, Hoomvip, Roommatik, Yacan.

  • Online Check-in: Chek-In, Check-In Scan.

  • Insurance: Swikly, Gritchen.

  • Operations and Maintenance: Doinn, Breezeway, Operto Teams, Propertycare, Delta.

  • Experiences: Civitatis, Aloja.

Each partner can share information through:

  • URL to their platform.

  • Plain text (up to 600 characters).

  • Specific blocks according to their category.

Links in the Booking List

In addition to templates, partner links are displayed in the right panel of the booking list (connected applications).

The corresponding block or link will appear empty in the message. In that case, you should contact the partner directly to resolve it.

Yes, but each property must be linked to a single electronic lock partner.

Is it possible to use two applications from the same category in the same booking?

No. The system only allows one partner per category; if you add another, it will overwrite the previous information.

What happens if I forget to translate a template into all languages?

What is the plain text limit that a partner can sync in a template?

Partners can send up to 600 characters in links or informational messages that are integrated into the templates.
