When managing communications with your customers, having well-configured templates allows you to save time, ensure consistency, and convey professionalism. Whether you want to start from scratch, duplicate an existing one, or enhance it with custom fields, the system offers several easy options to achieve this.

  • Dynamic Field: data that is automatically inserted into the template from a database (for example, the customer's name or the reservation date).

  • Template: a model that combines predefined text with elements that can be modified and filled in.


Options for Working with Templates

Create a New Template

If you need a fully customized template, you can create it from scratch:

  1. Go to VRMS → Configuration → Templates.

  2. Click on "New Template."

  3. Fill in the basic fields:

    • Name: clear and easy to identify.

    • Subject: required for sending.

    • Language: defines in which language it will be available.

    • Category: select the category with the necessary fields (cannot be changed later).

    • Copy content in other languages: option to replicate content between languages within the same template.

      • If changes are only applied in one language, the other versions will retain the default configuration.

  4. Design the body with the text editor: you can insert tables, images, and apply formatting freely.

Duplicate an Existing Template

The quickest way to create a new version is to duplicate an existing template:

  1. Go to the "Templates" module.

  2. Click on "Duplicate Template" (next to "Create Template").

  3. Select the source template and specify the name of the copy.

  4. Confirm and edit the new version as needed.

Before starting from scratch, check if there is already a similar template you can duplicate and adapt.

Insert New Fields in a Template

To further personalize communications, add dynamic fields:

  1. Place the cursor where you want to insert the field.

  2. Click the “Field” button located in the right-hand options pane of the template.

  3. First choose the group or type of data, then the specific field.

  4. Repeat as many times as needed.
