Import reviews from a CSV file

Upload and manage reviews on your own, with progress tracking, automatic validations, and clear messages at each step.

Start the import from “Reviews”

To open the Importer, you can follow any of the following paths:

  • Side menu → Bookings → Reviews → Actions → Import.

  • Side menu → Customers → Customers list → Import.

  • Side menu → Owners → Owners list → Actions → Import.

This tool lets you upload a preformatted file, review the results, and view the process status in real time.

File requirements before uploading

  • Mandatory fields. Name and Language are required. All other fields are optional and, if left blank, they will be imported as empty.

  • Fixed structure. Do not modify the format of the downloaded file: it’s already prepared for import.

  • Accepted format. Save the document as .csv; it’s the only accepted format.

  • Publication control. You can indicate in the file which reviews you want to publish.

  • Limits and duplicates. Each import supports up to 50,000 lines; if you have more, split them into multiple files. Duplicate reviews (same person: same name and email) are not re-imported or updated.

Download and prepare the file

  1. Download the template file. After starting the import, you’ll see a panel with the requirements. Turn on the confirmation toggle to continue and download the preformatted file.

  2. Fill in the template. Complete the mandatory fields and, if needed, mark which reviews should be published at the end. Always save as .csv.

Attention to detail

If you don’t see the button to continue, check that you’ve turned on the toggle confirming you meet the requirements.

Upload the file and validations

  1. Go to Reviews.

  2. Select Actions.

  3. Choose Import.

  4. Upload your .csv file.

Possible result after upload:

  • Successful upload: the file is valid and you can proceed to the next step.

  • Upload error: there are issues you must fix (for example, incorrect format or too many lines).

Common mistakes

  • File in a format other than .csv.

  • More than 50,000 lines in a single import.
    Solution: save as .csv and split the dataset into multiple files if it exceeds the limit.

Execute the import

Once the file is validated:

Start the import process.

Watch the status returned by the system.

Initial statuses:

  • Import started: the import began successfully.

  • The import could not be started: review and try again.

Real-time tracking and notifications

You can track progress from VRMS → Processes, where you’ll see the status of each import. You can also opt in to notifications when the import finishes.

Possible statuses in Processes:

  • In progress: the import is still running.

  • Successful: everything went well; you’ll be able to go to the customer list in VRMS.

  • Error: something failed; try again.

Best practices

  • Validate with a small file before uploading a large batch.

  • Avoid duplicates by checking name and email in your source data.

  • Keep copies of the final CSV files in case you need to re-import. (The platform does not re-import or update duplicate records.)

Close the process with a quick check

When you see the Successful status, verify that the reviews appear as expected and that each one’s publication matches what you set in the file. If something doesn’t match, fix the CSV and run another import with the changes.

Now that you’ve imported your reviews, enable process notifications to be informed of each completion, and plan periodic uploads in batches of up to 50,000 lines to keep your listings up to date.

Where is the reviews importer and what path should I follow?

In the PMS, go to Side menu → Bookings → Reviews → Actions → Import. From there you can download the template, upload the file, and track the process.

It means the import could not start. Review the file (.csv format, fewer than 50,000 lines, unchanged structure) and try again.
