Start invoicing from your bookings
With Avantio VRMS you can generate invoices directly from bookings or from the invoicing area. Choose the method that best fits your workflow and check the data before issuing to ensure everything is correct.
Options for issuing invoices
From the booking details
Open the relevant booking.
Click
Actions → Invoice.Choose one of these options:
“Invoice this booking”: the invoice is issued in your agency’s name.
“Invoice as owner”: the invoice is issued in the owner’s name.
The system will automatically load the default invoicing rule (VAT, company name, series, etc.).
If needed, select another rule from the dropdown menu or manually edit the data before issuing.
From Invoicing → Issue invoices from bookings
Go to Accounting → Invoicing → Issue invoices from bookings.
Select one or more bookings.
Click
Actions → Invoiceand choose:Generate individual invoices: creates several invoices, each with its own series and number.
Generate aggregated invoice: creates a single invoice with several bookings for the same client.
Review the parameters and click “Generate”.
Pre-issue validation
Before the invoice is generated, the system shows a preview with validations so you can check for possible errors or missing fields.
Once issued, the invoice cannot be modified (even if you later change any client data). If you need to make changes, issue a credit note and generate a new invoice.
Validation types by client
Client: simplified invoices are issued; full address and identification number are not required.
Company or self-employed: the system requires complete data (name, identification number, and address). If anything is missing, a warning will appear for you to correct it.
Pay attention to the details
If a client asks to change the invoicing details (for example, you invoiced the tourist and now they want the invoice in their company’s name):
First, issue a credit note with the original data.
Then update the client information.
Finally, issue the new correct invoice.
Important: do not change the data before issuing the credit note; otherwise, the credit note will be generated with the updated information and will not match the original invoice.
