Optimize Your Settlements by Adding the Customizable Settlement Block

What is the customizable settlement block?

This new improvement allows you to add a fully flexible information block to your settlement templates. Since each company has its own way of presenting financial data, this tool gives you the freedom to choose exactly which fields appear in each owner's final document.

Where to configure the customizable settlement block?

To use this feature, you'll work in two areas of the VRMS:

  1. VRMS > Templates (category "Owners" and subcategory "Summary"): Here you'll add the "settlement block" to the general structure of your template.

  2. Owner Contract > Templates section: Here you'll define which specific fields will be shown for that particular owner.


How to set up the custom settlement step by step?

Step 1: Select a template

Go to VRMS > Templates > select an Owners template and the Summary subcategory.

Tip: There is a default template called "Custom owner settlement" that already includes this block ready to use.

Step 2: Add the settlement block (if it's not already in the template)

In the template editor, go to Content > Contract information and select the new custom block.

  • Note: You can only add this block once per template.

Step 3: Configuration in the Owner Contract

Go into the specific owner's contract and look for the Contract templates section.

  • If this is your first time, you'll see the message: "You haven't customized your settlement information yet".

  • Click Configure content to open the editing panel.

Step 4: Select fields

In the side panel, check the fields you want to appear in the final settlement. The fields are grouped into sections, each of which is associated with a table in the final document:

  • Booking information

  • Booking amounts

  • Fixed payment information

  • Commission information per booking

  • Expenses

  • Prepayments

  • Amounts to pay

Step 5: Customize section titles (Optional)

If you prefer to use your own names for the sections, you can change them like this:

  • Edit the header: Hover over any section title and click the edit icon that appears.

  • Select the language: Enter the new name in the languages you want in the side panel. If you leave a field blank or don't touch it, the system will keep the original Avantio text/name by default.

Example:

Avantio name - "Booking ID"

Custom name - "Booking reference"

Step 6: Save changes

To finish setting up your custom block:

  • Confirm changes: Click Apply. A success message will appear and the information will be visible in the contract details.

  • Edit later: If you need to make changes in the future, you can return to this section and update the data at any time using the Edit option.

Don't lose your changes: If you try to leave without saving, the system will warn you.

  • You choose: Click Cancel to go back and Apply the changes, or click Continue without applying if you prefer to discard them.

Important notes about this feature

  • Booking ID: This field is mandatory and will always be selected by default.

  • Field limit: You can select up to a maximum of 7 fields per section (including the Booking ID).

  • Visibility: If a section only has the Booking ID selected, that section will not be printed in the final document to save space.

  • Individual configuration: Remember that the content of the Settlement block must be defined within each owner contract.
