Export Data to the INE from Avantio

When managing tourist accommodations, the National Institute of Statistics (INE) requests official data every month. Doing this process manually can be tedious and prone to errors. With Avantio, however, you can export the information automatically in XML format: faster, safer, and hassle-free.

What can you do with this feature?

  • Automatically send the required data to the INE every month.

  • View the history of exports made and download them whenever you need.

  • Cancel an export and reissue it if there is an error.

  • Detect issues before exporting thanks to the system's validation manager.

Access from the VRMS in the “export data” section

Step by step: how to export to the INE

  1. Receive the INE request

    • The INE sends a request each month with two keys:

      • Order number: identifies your company (entered only once).

      • Control code: identifies the monthly export (entered for each export).

  1. Enter the required data

    • The first time you will need to configure the export with your company identifier.

    • Each month you will need to add the requested data for that specific export.

  2. Select the period to export

    • The INE requests information by weeks (for hotels) or by fortnights (for apartments).

    • However, when exporting from Avantio in XML, the entire month will always be sent.

  3. Validate and export

    • Check the system alerts in case of issues.

    • Click on Export and the system will send the XML file directly to the INE.

Remember not to forget to enter the number of keys in the company name according to the category determined by the INE (https://arce.ine.es/ARCE/ficheros/Documento%20Apartamentos.pdf)

Pay attention to details

  • Company name: the company name indicated in the export must match the one on the accommodation contract, the one assigned to the accommodation, or the one configured by default in the company. If it does not match, the system will display the message "No records to export for the applied filters".

  • Mandatory fields: province, country, and region of the tourists are always mandatory. We recommend configuring them as required on your web and online check-in to avoid export failures.

  • Accommodation category: remember to enter the number of keys according to the INE classification.

Useful tips

  • Always review the data before exporting to avoid rejections.

  • Keep the export history as a backup.

  • If you need to correct something, cancel the export and regenerate it: the system allows it.

Frequently asked questions

Do I always have to enter the Order number?
No. It is only entered the first time. After that, it is saved in the system.

And the Control code?
Yes. You must enter it every month, as it identifies the specific export.

What happens if any mandatory data (like province or country) is missing?
The system will flag an issue and will not allow the export until the information is complete.

Can I send just a week or a fortnight?
No. Although the INE requests it that way, Avantio always exports the entire month in XML.

What do I do if the company name does not match and gives an error?
Review the configuration and ensure that the chosen company name aligns with the accommodation contract, the one assigned to the accommodation, or the default one in the company.
