How does Revenue Optimiser help me?

The goal is to maximize the Occupancy and profitability of your Accommodations. Many gaps between Bookings remain empty because minimum stay rules make them unbookable.

Revenue Optimiser allows you to automatically manage these free gaps between Bookings (“orphan days”).

The system detects these unbookable gaps and applies automatic minimum stay rules and price adjustments (discounts or surcharges), in order to turn them into bookable nights without requiring any manual intervention from you.

Who can configure Revenue Optimiser?

Only users with one or more of these profiles:

  • Administrator

  • Revenue manager

Where can I find the Revenue Optimiser module?

The new settings are in the Revenue tab:

What can I configure?

You can configure exceptions to be applied when the system detects orphan days. This application automatically generates seasons based on an Accommodation’s availability within the following interfaces:

  • Occupancy rules

  • Discounts and surcharges

For the configuration, you must define the minimum and maximum length of stay allowed for the Bookings that can be generated by these automatic seasons. Example:

  • General minimum stay: 9 nights

  • Exception for orphan days: allow only between 3 and 8 nights (therefore, Bookings of 1 or 2 nights are excluded)

You must define whether a discount, a surcharge, or the same price applies according to the number of nights stayed.

Example:

  • From 3 to 4 nights: 8% surcharge

  • From 5 to 6 nights: 3% discount

  • From 7 to 8 nights: same price

You can apply up to 4 conditions.

Allowed check-in/check-out days: You can choose whether to respect the days configured in the Accommodation’s occupancy rule or allow any check-in/check-out day.

How does the system apply it automatically?

The system detects the availability and/or modifications to the occupancy rules of each Accommodation with an active rule.

When it detects orphan days that meet the configured conditions:

  • The occupancy rule is applied to the detected gap with the new minimum stay according to the established configuration.

  • The corresponding price adjustment is also applied.

  • The gap becomes available for booking.

The new availability and rates automatically generated by the orphan days system cannot be manually edited or deleted from the rate and/or occupancy rule itself. If any changes are needed, you must modify the general orphan days configuration from the “Orphan Days” tool.

What happens if the Accommodation has shared rules?

If an Accommodation shares rules with other Accommodations (for example, an occupancy rule) and orphan day conditions are configured, the system acts as follows:

  • The Accommodation keeps its current rule (in this case, shared with other Accommodations).

  • Specific conditions are applied to the Accommodation where orphan day conditions have been configured from the “Orphan Days” tool, without these conditions affecting the rest of the Accommodations within the same rule.

  • Within the rule itself, it is not possible to view or modify the orphan day conditions of the Accommodation to which those conditions have been applied.

  • To view the specific conditions and/or make modifications, you must access the “Orphan Days” tool.

Overlap with other rules or promotions

The discount and surcharge seasons generated automatically can coexist with other existing rules (simple discounts or surcharges, promotional codes, etc.).

These rules will be applied in the same way the system currently works when there are multiple active rules.

Managing availability changes

If the orphan day disappears (for example, due to the cancellation of a Booking that generated the gap), the system will restore the previous configuration for the automatically created season.

Coexistence or blocks with custom rules in Channel PRO

Orphan day rules are always created based on the VRMS configuration, regardless of any customizations that exist in Channel PRO.

You must take into account whether the automatically created VRMS rule affects how the Booking is created, or even whether it allows booking at all. The use cases and how they are applied depending on what is configured in Channel are as follows:

Is there an occupancy rule in ChannelPro?

Are there discounts and surcharges in ChannelPro?

Application of orphan day rules (VRMS)

Yes

Yes

Although they are created, the orphan day rules will not be applied, because the Channel rules override the VRMS rules.

Yes

No

The orphan day discounts/surcharges will be created, but the system will not allow Bookings because the orphan day will not apply to the occupancy rule.

No

Yes

The creation of shorter Bookings will be allowed, but with the discounts/surcharges configured in the Channel.

No

No

Everything configured in orphan days and applied in VRMS will be applied.

How does the system work in the case of grouped Accommodations (shared gallery)?

Accommodations with a shared gallery are not compatible with the tools available in Revenue Optimiser. Therefore, these Accommodations will be excluded from the list for activating Revenue Optimiser functions.

Where can I see the changes in the system and how can I control them?

In the Revenue Planning. There, the minimum number of nights will change in the occupancy rule icon and the warning will be removed. Users will not be able to edit the occupancy rule or prices for those days through the calendar. They must use the orphan days configuration to make any changes.

Example cases for occupancy rules and discounts and surcharges

In general terms, the logic will always be the same:

  • If the gap does not meet the minimum conditions → the system will do nothing, and it will remain as an “orphan day”.

  • If the gap does meet the conditions → the system will apply rules (minimum stay, discounts, or surcharges).

  • If the gap disappears (because of a Booking cancellation or a blocked period) → the system reverts the changes and returns to the original configuration for that season that had been created automatically.

Frequently asked questions

What happens if I want to disable the orphan days feature?

When the tool is disabled, the system will restore the configuration that was active before the tool was enabled. Any orphan day conditions (Orphan Days) previously created will no longer be considered or applied.

What happens if I deactivate an Accommodation in VRMS?

The same process of restoring the previous configuration applies if an Accommodation is deactivated in VRMS (that is, the orphan day conditions previously created will no longer apply to that Accommodation).

What happens when I reactivate the orphan days tool?

The system will display the configuration that was saved just before it was deactivated. You can keep the configuration or modify it as needed.
