Switch Payment Platform in Avantio Without Losing Pending Payments

Switch payment platforms securely and ensure continued collection of your bookings.

Written by Lisa

Starting Point

Switching to a different integrated payment platform in Avantio may be necessary for operational, contractual, or strategic reasons. For example, you might need to move from Stripe to Planet or migrate from the PCI system to an integrated payment platform.

The change is straightforward, but there’s one important thing to keep in mind: card data is not migrated from one payment platform to another.

For this reason, it’s recommended to review any pending payments and your Avantio Payments configuration beforehand to ensure your bookings continue to be managed without interruption.

What will you learn in this article?

You’ll learn what happens to cards and pending payments when you switch payment platforms, and how to properly prepare for migration to keep your payments running smoothly.

Benefits

  • Avoid issues with pending payments during the switch.

  • Maintain continuity in managing payments for your bookings.

  • Automatically request a new card from the guest when needed.

When should you follow this process?

You should follow these recommendations when you are switching from one integrated payment platform in Avantio to another or when you want to migrate from PCI to a payment platform.

Before you start

It’s a good idea to check in advance:

  • Which bookings still have pending payments.

  • Whether the previous payment platform will remain active during a transition period.

  • If you have correctly set up Avantio Payments automations.

It’s also recommended to check the payment type set for affected bookings, especially if you’re migrating from PCI.

Follow these steps

  1. Review pending payments for your bookings.
Identify bookings that still have scheduled payments after the planned platform switch date.

  2. Check if the previous payment platform will remain active.
If both platforms remain active contractually, pending payments can still be processed using the original tokenized card on the previous platform.

  3. Set up Avantio Payments to handle new card requests.
If the connection to the previous platform is removed and Avantio can no longer use the tokenized card, Avantio Payments will request a new card from the guest according to your configured automations.

  4. If migrating from PCI, set payments to Automatic.
To make the process fully automatic:

    • Enable Avantio Payments automations.

    • Go to the payments section of the relevant booking records.

    • Change the payment type to Automatic.

This way, the Avantio Payments flow will automatically request a new card from the guest when needed.

Expected outcome

Once the change is made, your bookings will be able to continue processing pending payments depending on the availability of the original card.

If the tokenized card from the previous platform is no longer available, Avantio Payments will automatically request a new card from the guest, as long as automations and payment type are correctly set up.

Recommended next steps

After making the change:

  1. Review bookings with pending payments to make sure their payment method and status are as expected.

  2. In the days following the change, check that Avantio Payments automations are correctly requesting new cards when needed.

Key fields and options

  • Payment platform: determines which provider is used to process payments.

  • Automatic payment type: allows Avantio Payments to automatically manage the payment flow.

  • Avantio Payments automations: allow you to request a new card from the guest when the previous card can no longer be used.

Limitations and considerations

Keep in mind that:

  • Card data is not migrated between payment platforms.

  • A tokenized card belongs to the platform where it was originally registered.

  • If the previous platform is no longer available, you’ll need to obtain a new card from the guest to continue with certain payments.

  • When migrating from PCI, payments must be set to Automatic so Avantio Payments can manage the process without manual intervention.

Before permanently deactivating a platform, always review bookings that still have pending payments.

Best practices

  • Plan the platform switch with future bookings and payments in mind.

  • Keep the previous platform temporarily active if needed to complete already scheduled payments.

  • Set up Avantio Payments automations before finishing the migration.

  • Make sure affected payments are set to Automatic where appropriate.

  • Review the first bookings processed after the change to confirm the flow is working correctly.

Practical example

A Company uses Stripe and decides to switch to Planet.

They have several future bookings with pending payments and cards that were originally registered in Stripe.

If Stripe remains active contractually, those payments can be charged to the cards originally tokenized in Stripe.

However, if the connection to Stripe is removed before the next payments are processed, Avantio Payments will not be able to reuse those cards. In that case, as long as automations are correctly set up, a new card will be requested from the guest to continue the payment process.

Common mistakes

  • The guest does not receive a new card request: check that Avantio Payments automations are enabled.

  • A payment for a booking migrated from PCI is not managed automatically: make sure the payment type is set to Automatic.

  • Expecting the new platform to use the card saved on the previous one: remember that card data and tokens are not transferred between platforms.

  • A pending payment is not processed as expected: check if the platform where the card was originally tokenized is still active.

If something isn’t working

If payments aren’t being managed as expected after switching platforms, check these points before contacting our customer support team:

  1. Make sure Avantio Payments automations are enabled.

  2. Verify that the relevant payments are set to Automatic where needed.

  3. Review the payment platform originally used, the payment status, and the affected booking.

  4. Check if the previous platform is still active and if the original card is still available for payment.

  5. Update the booking and check the payment status again.

If the issue persists, contact our customer support team and include screenshots, the booking reference, the affected payment, and the scheduled payment dates.

Frequently asked questions

Are saved cards transferred when I switch payment platforms?

No. Card data and their tokens are not migrated from one payment platform to another. Each platform keeps its own tokenized data.

What happens to pending payments if I switch from Stripe to Planet?

If Stripe remains active contractually, pending payments can still be charged to the card originally tokenized in Stripe.

If the connection to Stripe is no longer available, Avantio Payments can request a new card from the guest according to your configured automations.

What should I do if I’m migrating from PCI to a payment platform?

To fully automate the process, you need to enable Avantio Payments automations and set pending payments in the booking records to Automatic.

This way, Avantio Payments can automatically request a new card from the guest when needed.
