Coordinate suppliers and staff from a single module with control and agility

Managing a mixed team of external suppliers and internal staff can be complex without the right system. The Operations Manager simplifies this task by providing control and agility in daily management, reducing incidents, improving collaboration, and ensuring everything moves forward without constant supervision.

Explore the Operations Manager module

The initial setup is intuitive. To get started, log in to VRMS and go to the “Operations” section. From there, it’s a good idea to explore its different areas: from manager access to the task list and specific notifications, so you can get the most out of the module.

When you open the section, you’ll see all operations and incidents scheduled for the day, acting as a central hub that brings together both automatic and manual tasks.

Main benefits

  • Smart automation: every time a booking includes an extra with an assigned manager, the corresponding task is automatically generated in the Operations module.

    • Whenever a booking includes an extra/service, the corresponding task is automatically generated in the Operations module.

  • Complete flexibility: create manual tasks for general checks or incidents, and assign them to one or more accommodations as needed.

    • Create manual tasks for general checks, incidents, or one-off services not linked to a booking, and assign them to one or more accommodations as needed.

  • Total control: each task gathers detailed information about the booking, accommodation, and manager, with tabs for comments and notifications.

  • Real-time tracking: change statuses, check history, and report incidents directly from the system.

List view

By default, the list view

will be shown, displaying operations and incidents scheduled for today, with the option to also view those for tomorrow or the next 7 days. This view presents the following information:

  • Task or operation name: may come from an extra/service linked to a booking or from a manually created task.

  • Manager: external supplier or employee with access to VRMS.

  • Associated accommodation: if applicable.

  • Booking number: if applicable.

  • Status: completed or pending.

This way, you get a comprehensive overview without wasting time on unnecessary details.

Key benefits

The system allows you to:

  • Attach information to tasks.

  • Link them to a specific accommodation or keep them general.

  • Assign managers, whether they are internal users of VRMS or external suppliers with enabled access.

The interface is fully responsive, adapting to mobiles and tablets. Plus, filters let you create custom views and save them for future access.

Helpful tip

Use filters to create custom views and save them for quick access in the future.

Tasks can be managed individually or in bulk. To do this, select the date, choose the relevant tasks, and click on “More actions.” From there you can:

  • Edit the details of each task.

  • Configure manageable extras.

  • Delete unnecessary tasks.

  • Export information in CSV, Excel, or PDF format.

Attention to detail

When exporting, make sure the applied filters are reflected in the file to avoid including unwanted data.

Planning view: a calendar perspective

To change the display, click the Planning view button

. This option complements the list by showing tasks by accommodation and day, along with bookings. It’s a visual calendar that makes it easy to spot potential conflicts or gaps in planning.

In this view you can:

  • Check booking or accommodation details with a click.

  • See key details of each task directly on the calendar.

  • Create new tasks from a specific day.

  • Drag tasks horizontally to change their date.

Best practices

Make this view part of your weekly routine to balance workloads and reduce manual rescheduling.

The Operations Manager centralizes and organizes tasks for suppliers and staff, offering control, flexibility, and efficiency.

With this module, you can manage both scheduled operations and unexpected events, keeping a clear and simplified view of your daily operations.
