Managing a mixed team of external suppliers and internal staff can be complex without an adequate system. The Operations Manager simplifies this task by providing control and agility in daily management, reducing incidents, improving collaboration, and ensuring everything progresses without constant supervision.

Explore the Operations Manager module

The initial setup is intuitive. To get started, access VRMS and enter the "Operations" section. From there, it's advisable to explore its different sections: from the manager's access to the task list, including specific notifications, to make the most of the module.

When you open the section, you'll see all the operations and incidents scheduled for the day, functioning as a central hub that gathers both automatic and manual tasks.

The visible information includes:

  • Task or operation name: it can be an extra service or a manual task.

  • Responsible person: external supplier or employee with access to the VRMS.

  • Associated accommodation: if applicable.

  • Booking number: if applicable.

  • Status: completed or pending.

This way, you get a comprehensive view without spending time on unnecessary details.

The module also allows for the automatic creation of tasks for services or extras, as well as the management of manual incidents.

  • Attach information to tasks.

  • Associate them with a specific accommodation or keep them general.

  • Assign responsible persons, whether they are internal users of the VRMS or external suppliers with enabled access.

The interface is fully responsive, adapting to mobiles and tablets. Additionally, filters allow you to create custom views and save them for future access.

List view

Select the list view button

. By doing so, all operations and incidents scheduled for today will be immediately displayed, with the option to also check those for tomorrow or the next 7 days. This view presents the following information:

  • Task or operation name (it can be an extra or a manually created task).

  • Responsible person (supplier or employee with access as a user in VRMS).

  • Accommodation (if applicable).

  • Booking number (if applicable).

  • Task or operation status (completed/pending).

Tasks can be managed individually or in bulk. To do this, select the date and corresponding tasks and click on "More actions". From there you can:

  • Edit the details of each task.

  • Configure manageable extras.

  • Delete unnecessary tasks.

  • Export the information in CSV, Excel, or PDF.

Attention to details

When exporting, ensure that the applied filters are reflected in the file to avoid including unwanted data.

Planning view: a calendar perspective

To change the view, press the Planning view button

. This option complements the list by showing tasks by accommodation and day, along with bookings. It is a visual calendar that facilitates the detection of potential conflicts or gaps in planning.

In this view you can:

  • Check the details of bookings or accommodations with a click.

  • See the essential data of each task directly on the calendar.

  • Create new tasks from a specific day.

  • Drag tasks horizontally to change their date.

Integrate this view into your weekly routine to balance workloads and reduce manual rescheduling.

How to create a task in the Planning

  1. Access the Planning view in the "Operations" module.

  2. Locate the desired accommodation and day on the calendar.

  3. Click on the corresponding cell.

  4. Complete the details: name, responsible person, and brief description.

  5. Save the task and verify its appearance in the general list.

Common mistakes

  • Not assigning a responsible person: the task will be orphaned and without automatic notifications. Always check the assignment before saving.

  • Not testing the notification flow: as a recommended practice, log in as a responsible person and create a test task to familiarize yourself with the system.
