Data Export to the Mossos d'Esquadra

Written by Customer Experience Avantio

Comply with Catalan regulations by easily sending traveler data from the VRMS

If you manage tourist accommodations in Catalonia, the regulations require you to report all traveler data to the Mossos d'Escuadra. From the VRMS, you can easily generate the files required by this agency and maintain complete control over the export data.

Benefits of this module

  • Secure exports: the system only generates pending data and avoids duplicates.

  • Error control: it alerts you to missing or incorrect information before exporting.

  • Available history: check what has already been sent at any time.

  • Flexible management: you can cancel an export and regenerate it.

  • Updated legal compliance: the module has been adapted to Royal Decree 933/2021, including the new mandatory fields.

Important: this module only applies to companies with accommodations in Catalonia. For the rest of Spain, the Hospedajes export (SES.Hospedajes) is used.

Required data

According to Annex I of Royal Decree 933/2021, the Mossos require these data for each traveler:

  1. First name*

  2. Last name*

  3. Second last name* (mandatory if of Spanish nationality)

  4. Gender*

  5. Identity document number*

  6. Document support number* (mandatory if the document is DNI or NIE)

  7. Type of document (DNI, passport, TIE)*

  8. Nationality*

  9. Date of birth*

  10. Place of habitual residence: full address*, city*, and country*

  11. Landline phone

  12. Mobile phone*

  13. Email*

  14. Relationship between travelers (mandatory if any are minors)

Fields marked with an asterisk are mandatory.

How to access

  1. In the VRMS side menu, go to Reports → Export data.

  2. Select Export to the Mossos d'Escuadra.

Step-by-step to export data

1. Configure export data

  • Before the first export, go to Configuration → Edit and enter:

    • Issuing entity code and establishment name, provided by the Mossos.

  • If you don't have this code, request it from your local police station.

In the Issuing entity code field, you must enter the police establishment ID registered with the Mossos. This information must be provided both in the default settings and in the custom settings, if used.

The Username and Password fields correspond to the credentials for the company’s or establishment’s registration with the Mossos.

There are two modes:

  • Grouped → a single entity code for all accommodations. (Default)

  • Individual → an entity code for each accommodation (configured in the "Custom" block).

Our system is prepared to support only type 1 and 2 exports. Therefore, the export files always start with 1 in the first line identifying the establishment data, and the following rows start with 2 to identify the traveler data.

2. What to send and when?

There are two types of mandatory exports:

  1. Booking registration

    • Sent when a booking is confirmed or paid.

    • Includes only the booking holder's data.

    • Must be sent within 24 hours of booking confirmation.

    • Data uploads to Mossos are carried out manually.

To do this, you must access the Export data list or create a new export from the exporter. From there, you can generate the corresponding file, download it, and then manually upload it to the Mossos system.

  2. Traveler report (Ongoing contracts)

    • Sent from the check-in date of the booking.

    • Includes data of all booking occupants.

    • This document must be sent within 24 hours of check-in.

    • This process is semi-automatic.

First, you must generate the corresponding export. Then, from the Booking itself, go to the Online Check-in tab. From the Booking’s check-in date onwards, you will be able to send the export directly to Mossos.

The VRMS does not send the information automatically, so you must manually send the booking registration and semi-automatically send the traveler report.

3. What data is included in the export

  • Over 14 years old: all data required by the Mossos is included.

  • Under 14 years old: only these fields are sent:

    • Last name

    • First name

    • Gender

    • Date of birth

    • Country/nationality

    • Date of entry

4. Semi-automated sending with online check-in

If you have the online check-in module activated, you can enable semi-automated sending for the Traveler report:

  • From the booking itself, with a single click, you send the data directly to the Mossos.

  • No need to download or upload files manually.

  • To activate it, access the Online Check-In module and in the Semi-automatic Sending to Security Forces block.

5. Export history

In Completed exports you can:

  • Check all generated exports.

  • Cancel an export (the records will be marked as not exported and included in the next one).

6. Error management

Before completing an export, the system checks the data and alerts you if anything is missing or incorrectly formatted.

  • From the error screen, you can directly access the record and correct it.

Best practices

✅ Set up all your accommodations correctly from the start (codes and names).
✅ Regularly review the export data history and cancel those with errors, and manually send those that failed in the semi-automatic sending.
✅ Activate online check-in to simplify sending to the Mossos.

Frequently Asked Questions

What is the difference between grouped and individual mode?

The grouped mode uses one code for all accommodations. The individual mode assigns a different code to each one.

Does the VRMS send the data directly to the Mossos?

No. You must download the file and upload it to the Mossos platform, unless you have online check-in with semi-automated sending activated.

What happens if I make a mistake in an export?

You can cancel it from the history. The records will remain as not exported and will be included in the next export you generate.

What happens with minors under 14 years old?

Fewer data are exported: name, first surname, gender, date of birth, country/nationality, and date of entry.

How is the “Counter” field configured and how does it work?

The Counter field indicates the number of files or exports that have already been uploaded to Mossos.

To configure it correctly, you must enter the number corresponding to the last file/export sent. For example, if 5 exports have already been uploaded to Mossos, you must enter the number 5 in the Counter field. If no export has been uploaded yet, the value must be 0.

Once configured, every time a new export is made from Avantio, the counter will be updated automatically.

What is the difference between the default settings and the custom settings?

The default settings are used when the agency has a single entity or establishment registered with Mossos for all its Accommodations. In this case, you only need to complete the default settings block.

The custom settings are used when the agency has more than one entity or establishment registered with Mossos. In this case, you must enter the details of one entity/establishment in the default settings and then add the remaining entities one by one in the custom settings lines.

The data entered in the default block is chosen by the Property Manager. Usually, the first establishment registered with Mossos is used as the default settings.
