Keeping check-ins up to date not only prevents last-minute issues but also gives you peace of mind and control over your guests’ arrivals. With Online Check-in, you can easily review, validate, and correct information quickly and efficiently.

How to manage an online check-in

In the module VRMS → Bookings → Booking list, open the corresponding booking and go to the “Online Check-in” tab. From there, you can:

  • View a summary of all guests’ check-ins.

  • Check the status of each check-in.

  • Review data, documents, and signatures (according to your configuration).

  • Validate that the provided information is correct. If it isn’t, you can invalidate the check-in so that the guest can complete it again.

Check-in statuses in the booking record

  • Requested: The guest has not yet completed the check-in.

  • Pending: All occupants have completed their check-in, but they require review. You must validate or invalidate them. The system records the date of the last modification made by the guest.

  • Validated: All check-ins have been confirmed. The system records the validation date and the user who performed the action.

Invalidate a check-in with incorrect data

If the information provided by the guest doesn’t match (for example, the document number doesn’t correspond to the photo), you can invalidate the check-in.

  • You must write a note to the guest indicating what needs to be corrected.

  • The guest will receive a notification with the information to be fixed.

  • Once corrected, the VRMS notification system will alert you to review the check-in again.

Check the status of multiple check-ins

If you want to get a list of all bookings for the upcoming week and see which ones have completed their online check-in, use the “Online Check-in status” filter in the Booking list and select the desired status or statuses. This allows you to organize and prioritize validation efficiently.

Once all online check-ins are managed, you’ll welcome your guests with all the information validated, avoiding surprises and increasing efficiency in your daily operations.

How do I know which bookings have completed the check-in?

Pending check-ins appear with an orange circle, and the system records the date of the guest’s last modification. Validated ones are marked with a green circle, along with the date and the staff member who performed the validation.

Can I invalidate a check-in?

Yes. If the data doesn’t match, you can invalidate it. The guest will receive a notification to correct the information.

How can I filter bookings by their check-in status?

In the VRMS Booking list module, use the Check-in status filter to display bookings that are in Pending or Validated status.
