In Avantio, we have different types of accounting documents that can be tailored to the needs of each agency or owner. Thanks to these tools, it is possible to keep detailed track of income, commissions, expenses, and payments, simplifying administrative management and facilitating communication with both guests and owners.

General Accounting Documents

📄 Proforma

This is an invoice without fiscal value, used as a budget or preliminary information for the client before issuing the final invoice.

📄 Invoice

This is the main document that certifies the sale of a good or service. It includes detailed information about the issuer, the client, the billed items, the amount, applicable taxes, and the date of issue.

📄 Receipt

This is the proof that a client has made a payment of a specified amount. It must always be issued from a previously issued invoice and serves as official proof that the payment has been made.

📄 Payment Voucher

This is an accounting document that acts as proof that a payment has been made between two parties, offering more flexibility than a receipt. Unlike a receipt, it does not need to be linked to an invoice, allowing for the issuance of payment confirmations in situations where invoicing is not mandatory. It can be generated by the company or on behalf of the owner, facilitating the management and control of payments.

📄 Credit Note

This is the document issued to cancel or correct the amount of an already issued invoice or payment voucher. It cancels the total of the original invoice and should be used whenever it is necessary to modify the billed amount. The most common cases are refunds, cancellations, discounts applied later, or the correction of incorrect invoices.

📄 Contract

In Avantio, the contract is not a legal document but a configurable interface that allows defining the economic conditions of the agreement with the owner. Through this tool, aspects such as the calculation of payments to the owner, the agency's commission, the frequency of settlements, and possible deductions or additions are established. Although it can be exported and downloaded in document format, its main function is to facilitate the correct configuration of amounts in each settlement.

📄 Settlement

This is the document that reflects the calculation and final detail of income and expenses associated with a period or a specific operation, with the aim of determining the balance corresponding to the owner. Its preparation takes into account both the conditions configured in the contract and the expenses and prepayments added in the system.

SAF-T (Portugal)

📄 Invoice-Receipt

This is a hybrid document that combines in a single file the functions of an invoice and a receipt. This means it certifies the sale transaction (like the invoice) and, at the same time, serves as proof of payment (like the receipt). Its use simplifies accounting management in markets or systems that require and/or allow both effects in a single document.
