Deactivate the Veri*factu module independently from your account

Manage the deactivation of the Veri*factu system on your own, digitally sign the non-application document, and continue issuing your internal accounting documents without interruption.

What is the self-service deactivation flow and why has it been implemented?

At Avantio, we aim to give users and administrators full control over their accounting compliance. While Veri*factu is a key regulatory tool for meeting AEAT requirements, we understand there may be specific operational scenarios where a company needs to stop sending data to tax authorities, either temporarily or permanently.

With this update, you can now deactivate the service yourself from VRMS. To ensure legal security for both parties, the process includes:

  • A formal digital signature flow for the "Exemption Document".

  • Immediate automatic notifications by email with the agreement in PDF format.

  • A smart redirection logic that allows you to continue issuing accounting documents internally within Avantio VRMS, only stopping communication with the tax authorities.

Notice: Since deactivating Veri*factu is a critical decision that affects your tax obligations, this flow ensures the action is backed by a legal disclaimer, protecting both your company and Avantio through a digitally registered contract.

Who is this for?

This feature is available for all companies located in Spain that have Veri*factu export enabled and active in their Avantio account.

Where can I find it?

You can access this flow by navigating through the side menu at:

Step-by-step guide: How to deactivate Veri*factu

Step 1: Access the tool

  1. Within the Export data section, go to the Digital certificates tab.

  2. If your company has the Veri*factu module active, you’ll now see a new button called "More actions".

  3. Click on "More actions" and select the "Deactivate Veri*factu" option.

Step 2: Complete the digital contract

When you select deactivation, the system will open a mandatory pop-up window. To proceed, you’ll need to:

  • Carefully read the terms and conditions of the "Exemption Contract".

  • Enter your details: Type your Full Name and the Current Date in the provided fields.

  • Check the consent boxes: You must check both boxes to acknowledge the creation of the deactivation document and to confirm you accept the relevant legal policies.

The "Sign" button will remain completely disabled and greyed out until you have filled in all text fields and checked both boxes.

Step 3: Automatic system processing

The moment you click the "Sign" button, the Avantio system will automatically and immediately carry out the following actions:

  1. Module deactivation: The Veri*factu export is completely disabled for that account, stopping any further automatic submissions to the AEAT.

  2. Sending legal copies: The system generates the signed document and sends an identical PDF copy to the following email addresses for record-keeping:

    • To the User who performed the action.

    • To our Customer Success team.

    • To our Product team.

Best practices after deactivation

  • Check your templates: Remember that once Veri*factu is deactivated, the issuing logic changes. Review your accounting document templates to make sure they fit your new internal invoicing setup.

  • Keep the document safe: We recommend downloading and securely archiving the confirmation email with the signed PDF, as it serves as the official proof of the exact date and time the automated connection with the Tax Agency was interrupted.

  • Want to reactivate it in the future? If you need to reactivate the automatic sending system, remember you’ll need a valid electronic certificate (.p12 or .pfx) and to go through the usual activation process with our Customer Experience team.
