Activate the Medium Stay Module in Your Accommodations

This module lets you set specific rules for long-term stays, with tailored pricing, monthly payments, and different conditions compared to short-term rentals.

Access the Medium Stay Configuration

To start using this feature:

  1. Go to Accommodations → Short-term Rentals → Property List.

  2. Select one or more accommodations.

  3. If you select one, make sure to click the three dots to configure the medium stay options:

  4. If you select more than one accommodation, you'll find the medium stay configuration in the bottom bar:

  5. In either case, click on "Configure Medium Stay".

Set the Minimum Stay Duration

Set the threshold from which medium stay conditions will apply:

  1. Find the "Apply from" field.

  2. Enter the minimum number of nights, default is 28.

  3. Save your changes.

This is the only required field to activate the module.

Set Specific Rates for Long-term Stays

Go to the "Rates" section in the side panel and set prices tailored for these types of bookings.

Create Seasons with Nightly Prices

  1. Click "Add (seasons)".

  2. Select the date range.

  3. Set the nightly price.

  4. Save the season.

If a new rate overlaps with an existing one, the new one will automatically replace the previous one.

Understanding Monthly Rate Views

The system offers two ways to view prices:

  • Season view: shows date ranges with nightly prices;

  • Monthly view: shows the total calculated per month.

Also, the year selector will show a warning if there are periods without configuration.

How Rates Are Applied

Medium stay rates take priority over short-term rates when the minimum number of nights is met.

Keep in mind:

  • if you don't set medium stay rates, short-term rates will apply;

  • if a season is missing, bookings can't be made for that period;

  • these rates only work on web and manual bookings, not on OTAs;

  • Discounts/Supplements, Promo Codes, and the Non-Refundable Rate do not apply.

  • integrations with Dynamic pricing tools like PriceLabs do not apply to medium stay rates.

Set Up Monthly Payments and Guest Deposits

From the "Guest Payments and Deposit" section, you can define how these bookings are charged.

Enable Automatic Monthly Payments

When you enable this option:

  • the system replaces the standard payment rules;

  • a full first payment is charged when booking on your web. The first payment includes extra charges such as fees and/or extras, depending on your configuration.

Example: a stay from April 14 to May 14 is charged as a full month in the first payment.

  • subsequent automatic monthly payments are generated;

  • any rounding adjustments are applied to the last payment.

The system automatically applies rules based on the number of nights:

  • up to 27 nights, short-term rental booking conditions are used;

  • from 28 nights, medium stay conditions apply.

Payment Methods and Cancellation Policies will be those set in the Short-term Rental Booking Conditions.

Pay Attention to Details
If you don't enable medium stay payments, the system will continue using short-term rental payment rules. This can cause inconsistencies for long bookings, so it's best to review before publishing.

Set the Deposit

Set the deposit according to your needs:

  • numeric amount, no decimals;

  • when to charge, "At the time of booking" or "At check-in";

  • payment method, except "Card hold";

  • days to return after check-out.

If you don't set a deposit for medium stays, the short-term rental deposit will apply.

Add Specific Notes for Long-term Stays

You can include extra information visible to the guest:

  1. Go to the "Notes" section.

  2. Enter the text, up to 250 characters (special characters allowed; HTML tags will be treated as plain text).

  3. Complete the available languages on your web.

  4. Save your changes.

These notes will automatically appear on the listing page and in your web booking form when the stay meets the minimum duration.

Manage Bulk Settings Across Multiple Accommodations

You can apply changes in bulk to save time:

  1. Select multiple accommodations.

  2. Choose an action: "Configure medium stay", "Edit medium stay", or "Deactivate medium stay".

  3. Adjust booking duration, rates, payments, or notes.

  4. Click "Yes, apply".

  5. Confirm the changes and select "Save changes".

If there are different settings, you'll see the status "Multiple configurations" and the new values will overwrite the previous ones.

Filter Accommodations and Review Medium Stay Settings

New tools have been added to make inventory management easier.

Filter Accommodations by Stay Type

Use the new "Stay type" filter:

  • "All".

  • "Only accommodations with Medium Stay conditions".

Review the Configuration from the Accommodation Page in Your VRMS

In the detail view you'll see:

  • separate short-term and medium stay rates;

  • configuration status with shortcuts;

  • specific payments and deposit;

  • configured notes.

How the Price Is Shown on the Web

The system adapts how the price is displayed based on the length of stay.

See Prices Based on Booking Duration

  • less than 28 nights: the total price is shown;

  • 28 nights or more: the average monthly price is shown.

This improves cost transparency for long-term stays.

View the Payment Breakdown in Your Web Booking Form

For medium stay bookings with payments enabled, the user will see:

  • amount to pay at booking;

  • remaining monthly installments;

  • payment schedule;

  • full total price at the end.

You can also view the full payment details:

Displays notes and specific conditions

When the minimum stay is met:

  • specific notes are shown;

  • the configured deposit and payment rules are applied;

  • the offer and rate blocks indicate that they apply to short-term stays.

Automatically calculates the average monthly price

The system uses a formula to balance months of different lengths:

  • Price per night: Total rental price / Total number of nights.

  • Average nights: Sum of the days in each month of the stay / Number of months included.

  • Displayed monthly price: Price = price per night × average nights.

This ensures a fair calculation regardless of whether months have 28, 30, or 31 days.

Correctly displays the booking continuation notification

The booking continuation notification automatically adapts according to the medium-stay configuration of your accommodations.

To ensure consistent behavior, the system checks the following:

  • if medium stay is not enabled, short-term stay conditions apply without changes;

  • if medium stay is enabled and guest payments are also enabled, the amount for the first payment is shown at the time of booking.

This way, the guest sees from the start a clear and accurate amount according to the conditions set for long stays.

Keep in mind system limitations and behavior

When working with this feature:

  • there is no synchronization with OTAs;

  • Discounts/Supplements, Promotional Codes, Non-Refundable Rate, and dynamic pricing are not applied;

  • manual bookings suggest applying conditions automatically;

  • the Opportunities module in VRMS does take these rates into account;

  • Revenue Planning continues to show short-term rates.

Common mistakes
Setting up only some seasons within medium stay can block bookings for dates without a defined price. Make sure to cover the entire necessary calendar.


Which services should you prioritize to attract medium-stay tenants?

Guests staying for medium-length stays need services suited for long-term living, not just a vacation. Key priorities include:

  • Fast and reliable Wi-Fi: essential, especially for remote workers

  • A dedicated workspace or desk: a key differentiator for digital nomads and professionals

  • Fully equipped kitchen: guests staying a month want to cook at home

  • Washing machine (and ideally, a dryer or drying rack)

  • Adequate storage space and closets: guests bring much more luggage than short-term visitors

  • Smart TV and streaming services

  • Basic cleaning products and self-service consumables

Highlighting these features prominently in your property description and in the "Notes" field of the medium-stay configuration can significantly improve conversion rates.

Frequently Asked Questions

How can I customize extras for medium-stay bookings?

The configuration for a medium-stay accommodation takes into account the extras set up for that accommodation, regardless of whether the booking is short-term or medium-term. That said, extras (both general and property-specific) can be configured using different criteria, including the number of nights in the stay.

This lets you customize extras that should only apply when a booking exceeds a certain number of nights.

Example:

For a short-term booking (less than 28 nights), the air conditioning supplement is not charged, but it is charged for a medium-stay booking.

In this case, set up the default air conditioning extra with the standard settings (for example, "always apply" or based on stays of less than 28 nights). Then, create an additional extra—which you can call "Air conditioning" or "Air conditioning – medium stay"—and set it to only apply when the stay exceeds 28 nights.

Can I limit the number of days or months a property can be booked for?

Yes, you can do this directly from the occupancy rule for your accommodation.

To do this, go to Revenue > Occupancy Rules. When editing an occupancy rule, you can set the minimum stay (minimum number of nights) and the maximum stay (maximum number of nights) allowed for your properties.

Can I charge monthly for bookings during the stay? What amount will be charged? Can I set up payment methods?

Yes, our medium-stay module lets you set up monthly payments. When monthly payments are enabled, bookings longer than 28 nights will be billed monthly.

The guest will pay for the first month at the time of booking, the second month at check-in, and subsequent months on the same day of each month corresponding to the check-in date. This way, the property management company always collects payment in advance, helping to avoid payment issues.

To enable monthly payments, go to Accommodations > Property List > Three dots > Edit medium stay > Guest payments and deposit.

The payment methods used are those set up in Bookings > Booking Conditions.

From this section, you can set up payment methods based on the number of nights; for example, if you want to accept bank transfers for medium-stay bookings but not for short-term stays.

Did you know that in Harmony you can set up an automation to send a message to guests when a payment is still marked as "pending" after the due date?

How can I make sure subsequent monthly payments are collected?

If you enable the monthly payments option, the guest will pay for their booking month by month, instead of paying the full amount before arrival.

Monthly payments let you collect two months in advance to avoid missed payments or, if a payment is missed, give you time to handle it with the tenant.

It's not always possible to guarantee 100% solvency from a tenant, but common recommendations include: advance payments (when monthly payments are enabled, two months are paid in advance), insurance against non-payment (more common in traditional rentals, though there are specific policies for short-term rentals), or a customized deposit for short-term rentals that covers one month's rent.

Can I set a custom deposit for medium-stay bookings? How is the charge processed?

Yes, with the medium-stay module you can use a deposit for your short-term bookings and set a separate, customized deposit for medium-stay bookings.

It's very common for deposit management to differ significantly between short-term and medium-stay bookings:

  • Amount: For short-term stays, a deposit may or may not be required, and the amount is usually lower than for medium stays. For medium stays, the law may require a specific deposit amount (for example, two months' rent).

  • Payment method: For short-term stays, the deposit is usually charged by card (normally as a card hold). For medium stays, a card hold is not effective due to limitations (7 to 30 days).

  • Refund: For short-term stays, the deposit is usually returned within 24 to 72 hours after check-out. For medium stays, this period can be up to 30 days.

To enable a deposit for medium-stay bookings, go to Accommodations > Property List > Three dots > Edit medium stay > Guest payments and deposit.

The deposit will be charged at the time of booking or on the arrival date, depending on your settings, and using the payment method selected in the configuration.

Can I send a contract to my tenants in the middle of their stay?

You can create a specific template to send to guests with bookings that are mid-stay.

The contract can be set up directly in the VRMS template builder, or externally and then linked from the VRMS template.

When a mid-stay booking is registered, the system automatically adds a tag so you can personalize the communication sent through Harmony specifically for this type of booking.

Example:

You have set up the mid-term rental module and received a booking with check-in in July and check-out in September. You need to send the tenants a rental contract for them to sign.

Set up your contract signature template in the “Templates” section. Remember to use the “Bookings” category.

Set up an automation in Harmony to automatically send the contract to your tenants.

Can a mid-term booking be made under request?

The Avantio system allows you to make both direct and under request bookings. You can set this option generally for all your bookings, but not just for mid-term bookings.

How can I connect my properties to portals for mid-term stays?

The Avantio system lets you connect your properties to the portals available in our connection portfolio. Since the system is hybrid (the same property can accept both short-term rentals and mid-term bookings), you can connect your properties to the portals you choose.

However, it's important to note that mid-term conditions (rates, monthly payments, and deposit) are not currently synced with the portals.

This feature is only available for web and manual bookings.

Can I apply different cancellation policies to mid-term bookings?

Currently, mid-term bookings follow the cancellation policies set in the general “Booking Conditions” section. The module does not yet have a specific cancellation policy for mid-term stays.

Workaround: You can use the “Notes” field (up to 250 characters, multilingual) in the mid-term configuration to inform guests about the cancellation conditions that apply to this type of stay. This text will appear on the website, in the accommodation details, and at the time of booking.

Additionally, you can set up a Harmony automation triggered by the “BookingMidLongTerm” tag to send guests a message at the time of booking detailing the applicable cancellation policy.

What happens if I don't set mid-term rates for my accommodations?

The system will automatically apply short-term rental rates, even if the booking exceeds the defined number of nights.

Where are the notes set for mid-term stays displayed?

They automatically appear on the listing page and in the booking form on your website when the stay meets the minimum duration.
