Regain Access to Your VRMS Account

If you're having trouble accessing Avantio VRMS—whether you've forgotten your password, lost access to your two-factor authentication (2FA) app, or your setup window has expired—here's a step-by-step guide to quickly and securely regain access.

Forgot your password?

If you can't remember your password:

  1. Go to the Avantio login page

  2. Click on Recover?.

  3. Enter the email associated with your company to start the password recovery process

  4. Select I forgot my password and click Next.

  5. Enter your email address and click Send.

  6. Check your email and follow the instructions to create a new password.

acceso avantio, bajo el campo de contraseña tenemos la opción de recuperarla

If your email address exists in our system, you'll receive an email with a link to reset your password. Be sure to check your junk or spam folders.

If you don't receive the email, make sure you entered your email address correctly in the previous steps.

Note:

If you get a wrong data error during login, it's likely your access has been blocked due to too many failed attempts. In this case, you can request an additional setup window directly from your account administrator on your own.

Recovery Request for Expired 2FA or Lost Access

If the 5-day window to set up two-factor authentication (2FA) has expired, or if you've changed your phone/device and can't generate your security code, your access will be temporarily blocked.

You don't need to contact the Avantio Support team. You can request an additional setup window directly from your account administrator on your own.

Step 1: Submit the Request (User)

  1. When you try to log in, you'll see this message:
👉 “Don't worry! Regain access in a moment”.

  2. Click the "Send request" button.

  3. You'll see a confirmation message ("Request sent successfully"). The system will automatically notify your account administrators by email.

  4. Once your request is approved, you'll receive an email letting you know you have 5 days of temporary access to log in and set up your security.

ℹ️ Security note: You can only send 1 request every 5 days. If you try to send another before that (for example, within the first hour), the system will tell you your previous request is still being processed.

Step 2: Approve the Access Request (Administrator)

If you're an account administrator, you'll receive an email with the subject “2FA Extension Request: [User Name]”.

  1. Check the details: The email will show the user's name, email, block date, and estimated location data (IP and city/country).

  2. Verify identity: For security reasons, confirm the request is really from your colleague before approving it.

  3. Approve access: Click the "Reset access" button in the email. This will open the user's profile in Avantio VRMS.

  4. Confirm the action: In the pop-up window, click "Reset".

The user will receive an automatic notification and will be able to access the platform again.

⏱️ Link validity: The approval button in the email is valid for 5 days. If the link expires, you'll need to manually reset access by going to the user's profile in VRMS, under the 2FA Security section.

Step 3: Set Up 2FA Again (User)

Once the administrator approves your access:

  1. Log in to Avantio with your usual credentials within the 5-day window.

  2. Click the "Set up security" button (or go to your profile settings).

  3. Follow the steps to link your authentication app (Google Authenticator, Authy, etc.):

    • First time: Follow the on-screen instructions.

    • If you already had the app set up: You'll need to scan the new QR code from scratch, as the previous link is deactivated for security when access is reset.

Common Login Errors

If you can't log in, try these basic steps:

  1. Clear your browser's cookies and cache and try accessing VRMS again.

  2. Log in from an incognito window.

  3. Try from a different device or browser.

  4. Make sure you don't have a VPN or extensions blocking scripts enabled.
