Access and Understand the List of Pending Payments

The pending payments list is a report that gathers all payments not yet received, the time remaining until collection, and the person responsible for payment (guest or portal/intermediary). Use it as a control panel to prioritize tasks and anticipate issues.

Pending Payments List Update in VRMS

The new pending payments list replaces the previous version and lets you manage collections in a centralized way.

From this view, you can search, filter, edit payments individually or in bulk, and export the information for external tasks.

How to Access the List

  1. Go to Accounting → Payments → Pending Payments List.

  2. The system will display payments with the status “Pending,” “Failed,” or “Collected by the portal,” sorted by the oldest due date.

Explore the Pending Payments Information Columns

The pending payments list shows key information to make management easier:

Column

Description

Collection Date

Expected collection date (format dd/mm/yyyy)

Days Remaining

Days between today and the collection date. Shows “last day” if it’s today, a negative value if overdue (e.g., -92 days), a positive value if upcoming (e.g., 1 day). For payments collected by the portal, an ℹ️ icon appears to indicate portal dependency.

Details

Source of the payment (entity + ID). Example: booking (29738042)

Payer

Name of the payer or guest linked to the booking

Payment Method

Associated payment method. If none: no payment method.

Status

Failed, Pending, Pending (automatic - Avantio Payments), Collected by the portal

Amount

Amount of the pending payment

Delete (button)

Removes the payment from the list and all related entities (e.g., the booking record).

How to Interpret Days Remaining in Pending Payments:

The days remaining field calculates the difference between the current date and the due date:

  • shows “last day” if it’s the last day for payment.

  • shows negative values if the payment is overdue, for example, -92 days.

  • shows positive values if the payment is pending, for example, 1 day.

For payments managed by a portal, you’ll see an info icon indicating external dependency.

Use the Search Bar to Find Payments

The search bar lets you find payments by payer name.

You can search using the guest’s or owner’s first and last name associated with the booking.

This search accepts alphanumeric characters, spaces, and special characters.

You have multiple filters to segment the information:

These filters let you work with greater operational precision and quickly find payments.

Download the Pending Payments List for External Management

From the “actions” button you can download the list with the applied filters.

The file is generated in Excel (.xlsx) or CSV format, making it easy to use in external tools.

Edit Pending Payments Individually

To modify a specific payment:

  1. Select a payment.

  2. Click “edit”.

  3. A side panel will open where you need to complete:

    • payment status.

    • payment date, which defaults to today’s date.

    • payment method.

  4. Save your changes.

If you mark the payment as “paid”, it will move to the completed payments list.

If you mark it as “failed” or “collected by portal”, it will remain in the pending list.

Edit Pending Payments in Bulk from the List

You can also update several payments at once:

  1. Select multiple payments.

  2. Click “edit”.

  3. Apply the changes from the side panel.

The changes will apply to all selected payments, improving operational efficiency.

Manage Extras and Services Invoices in Pending Payments

Unpaid invoices for extras and services also appear in the list, only in work models and VRMS plans without the current invoicing structure.

Keep these points in mind:

  • they cannot be selected or deleted.

  • the action buttons are disabled.

  • when you click the row, a pop-up opens where you can change the status to “paid” or “cancelled”.

Best Practices
Document any change of status or payment method. This will keep a clear history and help avoid confusion during audits or internal reviews.

Where can I find the pending payments list in the system?

In Accounting → Payments → Pending Payments List. There you’ll see payments sorted by the days remaining until collection.

Can I filter by a specific collection date or by accommodation?

Yes. You can filter by expected collection date, accommodation, reference, status, amount, days remaining, and payer (guest or portal).

Can I export the list to analyze it outside the system?

Yes. You can export the report to Excel or CSV and work with it externally.

What payment statuses can I assign from the list?

You can set the statuses “pending,” “paid,” or “collected by the portal.”

Can I change the payment method recorded for a pending payment?

Yes. From the list, you can adjust the method to “cash,” “POS,” or “bank transfer.”
