Organize Your Customer Information and Strengthen Their Loyalty

When managing bookings and handling customer data, organization is key. A complete profile not only makes daily work easier, but also saves time on mandatory export data and provides a clear view for personalizing marketing campaigns. In other words: keeping this module in order is an investment in peace of mind and stronger relationships with your guests.

What You Can Do with the "Customers" Module

With this section, you'll centralize everything related to your customers:

  • Securely store their data.

  • Check the list of bookings associated with each customer.

  • Have information ready for export data in other modules.

  • Design marketing strategies based on segmentations and promotions.

How to Create a New Customer

Follow these steps to register a customer in the system:

  1. Go to the Customers tab.

  2. Click on Customer List.

  3. Select New Customer.

  4. Fill out the profile with all available data.

Attention to Detail

The more complete the profile, the less work you'll have later. This data is automatically sent in official export data, so it's best not to omit key information.

Best Practices for Organizing Your Customer Base

  • Classify by Marketing Source: this way you can accurately measure which channels generate more bookings.

  • Group by Type or Class: for example, VIP, problematic, or potential. This segmentation is very valuable for designing loyalty campaigns.

  • Use Tags: this feature allows you to tag customers according to your own criteria and filter more quickly.

Helpful Tip

You can speed up check-in with the document scanner integrated into VRMS. With a simple scan of an ID or passport, the system auto-fills the customer's profile fields, reducing errors and speeding up the process.

If you don't have this integration yet and are interested, contact your Account Manager for more information.

Best Practices

Before saving a new customer profile, check:

  • Full name.

  • Valid identification document.

  • Contact details (phone and email).

  • Nationality and country of residence.

  • Assigned marketing source.

  • Applied tags.

The "Customers" module offers you an organized and secure record that not only complies with regulations but also helps you better understand and retain your guests. Now that you know how to create and categorize them, also check out this article.

Frequently Asked Questions

What happens if I don't complete the customer's profile?

Some data is mandatory for official export data. If the profile is incomplete, the system won't be able to generate the submissions correctly.

Can I modify a customer's data after saving it?

Yes, you can edit the profile at any time from the customer list.

How do I know which marketing source to assign?

You define this field based on the channel through which the customer arrived (web, OTA, recommendation, etc.). The more precise you are, the more useful your statistics will be.

Do tags replace categories like VIP or problematic?

No. Tags are a flexible complement, while the category reflects the type of customer within your strategy.

Is the document scanner mandatory for registering customers?

No, but it makes the process easier and reduces transcription errors.
