Avantio Payments integration: what changes and how to handle previous cards?
Receptio powered by SysPay is a technology solution that acts as a payment bridge for agencies or platforms that manage bookings and transactions.
As of January 2021, due to changes in European payment regulations, this card-management method is obsolete and therefore unavailable to agencies registered in the European Economic Area (EEA). Users who still have it active must migrate to one of the payment methods integrated into the system, thereby ensuring compliance with current regulations and minimizing fraud risk.
When you activate the Avantio Payments module, the VRMS will stop displaying credit card details—both new and old.
This is because, with a payment gateway integration, cards are tokenized and stored securely, which prevents direct viewing.
From that point on, all charges will be managed exclusively from the VRMS.
Viewing cards registered before integration
To access cards linked to bookings made before Avantio Payments was activated, you must use the SysPay interface.
If you don’t have the access link, contact the Customer Experience team and they will provide it.
Attention to detail
Avantio does not manage SysPay usernames or passwords—you must use your own credentials.
Procedure in SysPay
Step by step
Step by step
Log in to your SysPay account.
Go to the E-terminal section.
Search by the guest’s email—this is the most effective way to locate the card.
To find the customer’s email in the VRMS:
Go to VRMS → Bookings → Booking list.
Select the booking you want to review.
Click Full view to open the booking record.
Open the Data tab and hover the cursor over the magnifying glass next to Customer.
A pop-up called Customer details will display the information you need.
For Booking.com virtual cards, the only valid search criterion is also the customer’s email.
Can I charge these bookings from Avantio Payments?
Not automatically. The previous cards remain stored on the prior platform and are neither migrated nor communicated between systems.
Solution: ask the guest to register their card again.
How to request the new card
Go to Booking list.
Select the booking you want to review.
Click Full view
to open the booking record.Go to Payment breakdown.
Click View card.
Select Request card.
The system will send the customer an email requesting an update of their card. Once the data is entered, the charge will be executed on the date scheduled in the payment line.
You can track these charges in: Accounting → Invoicing and Payments → List of pending payments.
