Frequently Asked Questions About Deposits in Avantio Payments

Deposit management can raise questions such as when authorization is requested, how to charge for partial damage, why the “Release” or “Charge” buttons don’t appear, or what to do if the system shows an error. This guide provides clear answers so you can act confidently in every situation.

Does Avantio Payments request authorization for the deposit?

Answer

Yes, but only if the payment method is “Charge.” The deposit is not added to the total amount of the booking, so it is not considered part of an installment payment.

How are damages managed depending on the deposit payment method?

Payment method: Charge

  • Use case: charging €150 for damages caused by the guest.

  • Note: the deposit amount is €400 using the Charge method.

  • Answer: The full deposit or a partial amount can be charged.

Payment method: Card hold (pre-authorization)

  • Use case: charging €200 for damages caused by the guest.

  • Note: the deposit amount is €500 using the Card hold method.

  • Reminder: a held deposit can only be:

    • Fully charged (partial charges are not possible), or

    • Released.

How can I charge only part of a held deposit?

Answer: First, release the pre-authorization for the full deposit (€500).Then, add a new payment of €200 in the Payment breakdown and proceed to charge it.

Why don’t the “Release” or “Charge” buttons appear?

Answer

A common reason is that the deposit extra is configured with two refund methods, creating ambiguity in the system—it doesn’t know which one to use.

Solution:

  1. In the deposit extra configuration, remove the “To be paid by bank transfer” option.

  2. In the booking, under the Deposit section, select “Refund/Release on card.”

After applying these steps, the buttons should display correctly.

Can I request a card for deposits in Airbnb bookings?

Answer

Yes. The Property Manager can request the card directly from the Payment breakdown section.

Does the deposit status update automatically in VRMS if the gateway releases it before the configured time?

Answer

No, it does not update automatically. The Property Manager must update it manually or ensure that the initial deposit configuration matches the pre-authorization period allowed by the payment gateway.

Why is a deposit created manually if I have automation activated?

Answer

The deposit is only created automatically if the booking contains the guest’s actual card.
In portal bookings where the first payment is managed by the portal, the card is not available, so the deposit payment line is created as follows:

  • Payment method: “Hold” or “Charge” (depending on your configuration).

  • Type: manual.

Why does the system show an error when I try to release a held deposit?

Answer

This usually happens because the amount has already been automatically released when the pre-authorization expired.

To confirm, access your payment platform’s interface, locate the transaction, and check its status.
